Intake Specialist

We’re looking for an
Intake Specialist
who can provide a calm, supportive, and professional experience from the very first interaction—while confidently guiding prospective clients through the next steps in our process.
Why This Role Matters Our Intake Specialists play a key role in shaping the client experience.
You’ll be the first point of contact for individuals seeking clarity, direction, and support. Your ability to listen carefully, communicate clearly, and guide conversations with confidence helps ensure each person feels heard, informed, and prepared to move forward.
What You’ll Do
Serve as the first point of contact for prospective clients via phone, email, and online inquiries
Lead intake conversations with empathy, professionalism, and structure
Gather key information while helping clients understand their options and next steps
Confidently guide prospective clients toward scheduling consultations when appropriate
Maintain consistent and thoughtful follow-up with individuals who have reached out
Track and manage inquiries within our CRM system (HubSpot experience is a plus)
Collaborate closely with attorneys and internal teams to ensure a smooth and supportive client experience
Maintain accurate and detailed records of all communications
What We’re Looking For
Prior experience in a client-facing role that includes guiding individuals through decision-making
(sales or consultative experience strongly preferred)
Strong communication skills with the ability to build trust quickly
A calm, professional presence—especially in sensitive or emotional conversations
Highly organized with strong attention to detail
Comfortable working in a structured, fast-paced environment
Experience with CRM systems (HubSpot preferred)
Reliable, collaborative, and solutions-oriented
