Position Overview
Custom Mechanical Equipment is seeking a highly organized
Inside Sales Assistant / Project Coordinator
to support our sales team and help ensure projects move smoothly from quote to production.
This role is responsible for assisting with quotes, coordinating customer projects, maintaining accurate CRM records, and communicating with customers, sales staff, engineering, and production. The right person for this position is organized, detail-oriented, and comfortable managing multiple projects at once while keeping customers informed and supported.
Key Responsibilities Sales Support
Assist the sales team with preparing quotes, proposals, and sales documentation.
Enter quote requests into the CRM and coordinate with engineering for pricing and specifications.
Track open quotes and assist with follow‑ups when needed.
Project Coordination
Coordinate communication between sales, engineering, production, and customers.
Ensure project information and documentation are complete before orders move into production.
Track active projects and maintain accurate project status updates.
Customer Support
Respond to customer inquiries regarding quotes, order status, and project timelines.
Provide documentation, submittals, and order confirmations when required.
Help maintain strong relationships with contractors, engineers, and customers.
CRM & Documentation
Maintain accurate records of customer communications, quotes, and orders in the company CRM system.
Ensure project and customer information remains current and well documented.
Qualifications
Strong organizational and multitasking skills
Excellent communication and customer service abilities
Attention to detail and ability to manage multiple projects
Basic computer proficiency (CRM or database experience preferred)
Prior experience in sales support, project coordination, HVAC, construction, or manufacturing is a plus
