Job Description Old Republic Title (Western Title Division) is seeking an

Escrow Assistant

to open, process, and fund refinance and sale transactions. The role requires effective communication, confidentiality, and a personable, positive, and professional approach.

This is an office-based position located in Castro Valley; remote applicants will not be considered.

Essential Duties and Responsibilities

Verifies and reviews all information in the preliminary report/title commitment while clearing title requirements by researching discrepancies, obtaining lien releases and clearing any other encumbrances.

Requests payoff, HOA and utility demands that appear on the preliminary report/title commitment and/or Seller/Borrower Information Sheets.

Pulls tax roll from assessor and reviews for accuracy, potential assessments and/or liens.

Assists in quoting fees and charges.

Requests/authorises loans to fund, receives funds, disburses funds including sending out payoffs.

Schedules appointments, assembles documents for signing for both inside and outside of the office.

Uploads all documents in appropriate category in the electronic filing system.

Prepares funding packages; provides conditions; receives funds.

Complies with company policies, procedures, regulatory requirements and completes mandatory compliance training by prescribed deadlines.

Works from 8:30 a.m. to 5:00 p.m., Monday through Friday; may work overtime and attend after-hour company events.

Accepts supervision, constructive feedback, and collaborates effectively with all levels of management, employees, and customers via email, phone, video conferences, and in person.

Demonstrates courtesy, professionalism, and proactive responsiveness to supervisors, managers, co‑workers and customers.

Other duties as assigned.

Knowledge and Skills Required

Knowledge of title insurance policies, endorsements and title pricing.

Knowledge of escrow documents, escrow fees and terminology.

Basic computer skills, including proficiency in Microsoft Office Suite and Outlook.

Ability to work in a fast‑paced environment while meeting extreme time constraints and deadlines.

Strong attention to detail with excellent organizational skills; able to prioritise multiple tasks and projects.

Ability to act independently with sound judgment and take initiative.

Clear, grammatically correct written and verbal communication; business‑appropriate.

Active listening; mindful of body language, gestures and non‑verbal communication.

Position Pay Range $38.00 – $43.00 per hour.
