• Assist in the day-to-day administrative operations of commercial building management. • Maintain tenant records, lease agreements, and renewal documentation. • Handle correspondence, phone calls, and emails with tenants, vendors, and contractors. • Prepare and process invoices, purchase orders, and expense reports. • Research online for vendors: identify potential service providers (janitorial, landscaping, HVAC, security etc.), compare quotes, review vendor credentials, update vendor listings, and assist in procurement processes. • Coordinate maintenance requests and follow up with contractors to ensure timely completion. • Support in preparing budgets, reports, and meeting materials. • Manage building access, keys, and security system records. • Maintain office supplies, files, and databases in an organized manner. • Assist with rent collection, deposits, and accounting coordination. • Ensure compliance with building regulations, safety standards, and company policies. • Schedule and track inspections, repairs, and preventive maintenance. • Provide general administrative support to property management staff as needed.
