Documentation Specialist II
Location Spring, TX
Schedule M-F, 40 hours per week
Compensation $50/hr
Target Start Date ASAP
Scope Coordinate between the Project Team (PT) and Operations to define the documentation and information required for handover to support operations planning, start-up preparations, and ongoing operations. This includes defining formats and characteristics of information management systems and tools. Develop Documents for Operations (DFO) strategy by interfacing with stakeholders on requirements and delivery. Ensure Contractor and Supplier documentation deliverables meet contract requirements for successful handover to Operations.
Tasks and Responsibilities
Coordinate communications between the Project Team and Operations to plan and execute DFO schedules and processes in alignment with Company specifications
Ensure DFO requirements are clearly understood by the Project Team, Contractors, and Suppliers
Interface with Project Team members to identify start-up, integrity‑critical, and operations‑ready deliverables
Plan and conduct DFO workshops, refresher sessions, and communicate expectations to stakeholders
Provide guidance and facilitate resolution of DFO-related queries and deviations
Monitor progress of DFO deliverables through review, contractor turnover, and final handover to Operations
Track and report DFO review and handover status
Identify gaps, recommend solutions, and report deficiencies to the Information Management Lead
Transmit early and final deliverable documentation packages to Operations
Escalate risks that could impact documentation quality, cost, or schedule
Conduct internal and external DFO audits and ensure resolution of identified issues
Implement and maintain performance metrics for DFO progress and reporting
Ensure all final documents, drawings, and metadata are loaded into the Company EDMS (UDocs)
Skills and Qualifications
Bachelor’s degree in a technical or engineering discipline preferred
Experience in operations and/or project technical support environments
Working knowledge of document management systems and information management tools
Advanced proficiency in Information Management practices
Understanding of documentation requirements for operating oil & gas facilities
Experience supporting Production, Refining, or Chemicals operations
Strong communication and stakeholder engagement skills
Ability to influence outcomes without direct authority over contributing teams
