
Property Administrator

LHH Recruitment Solutions is looking for an administrative professional for one of our great clients in the Commercial Property Management industry. The Property Administrator supports the day-to-day operations of a commercial property management portfolio by providing administrative support, delivering strong customer service to tenants and vendors, and assisting with basic accounting and contract administration functions. This role serves as a key point of contact for internal teams, tenants, and third-party service providers. This position is temp to hire and will pay between $21 and $22/hr.
Job duties
Provide administrative support to property managers, including scheduling, correspondence, filing, and document management
Serve as a primary point of contact for tenant inquiries, requests, and general communication, ensuring timely and professional responses
Coordinate tenant move-ins, move-outs, and renewals, including preparation and tracking of related documentation
Assist with the processing of accounts payable, including invoice review, coding, and entry, ensuring accuracy and timely payment
Maintain vendor records and assist with onboarding new vendors, including collecting required documentation and insurance certificates
Track vendor contracts, expirations, and renewals, and support property managers with contract administration and compliance
Coordinate maintenance and service requests by communicating with vendors and following up to ensure completion
Prepare and distribute routine reports, correspondence, and notices to tenants and ownership as needed
Maintain property files, leases, contracts, and compliance documents in accordance with company policies
Support budgeting and reconciliation efforts by providing administrative and invoice-related documentation
Assist with special projects and general office support as needed
Qualifications
Prior experience in an administrative, property management, or office support role preferred
Customer service experience with the ability to communicate professionally with tenants, vendors, and internal teams
Basic understanding of accounts payable or invoice processing is preferred
Experience working with vendor contracts, certificates of insurance, or service agreements is a plus
Strong organizational skills and attention to detail
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Proficiency with Microsoft Office or similar office software
Strong written and verbal communication skills
