Property Administrator

The Property Administrator provides essential administrative, customer service, and accounting support to ensure smooth operations within a commercial property management team. This role assists property managers, tenants, vendors, and internal departments while maintaining accurate records and supporting the financial processes of assigned properties. This role is temp to hire and will pay between $20 and $22/hr. Responsibilities

Provide day-to-day administrative support to property managers, including preparing correspondence, maintaining files, scheduling meetings, and managing property documentation. Serve as a primary point of contact for tenant inquiries, service requests, and general customer service needs, ensuring timely and professional communication. Coordinate vendor services, obtain proposals, process work orders, and follow up to ensure completion of maintenance and repair activities. Maintain property records such as leases, insurance certificates, contracts, and compliance documentation. Assist with accounts payable, including coding invoices, verifying charges, resolving discrepancies, and submitting invoices for approval. Support monthly financial processes by organizing documentation, updating spreadsheets, and assisting with accruals or budget tracking as needed. Prepare tenant communications, notices, reports, and other property-related documents. Assist with tenant onboarding and move in/move out processes, ensuring all required documentation and inspections are completed. Monitor and update property management systems, databases, and tracking logs. Help prepare annual budgets, tenant reconciliations, and reporting packages by gathering data and organizing supporting materials. Provide general office support such as ordering supplies, updating contact lists, and assisting with special projects. Qualifications

Experience in property management, commercial real estate, or related administrative roles preferred. Strong customer service and communication skills, both written and verbal. Familiarity with basic accounting principles, especially accounts payable processes. Proficiency with Microsoft Office Suite and property management software (e.g., Yardi, MRI, or similar) is a plus. Ability to manage multiple tasks, meet deadlines, and maintain organized records. Attention to detail and problem solving skills. Professional demeanor with the ability to interact effectively with tenants, vendors, and team members.
