Job Overview We are currently seeking a highly organized Inside Sales Associate to join our team. This role involves assisting customers via email and incoming calls (no cold calling) with equipment and parts replacements across multiple manufacturers, while working closely with internal departments to process orders, manage documentation, track shipments, maintain customer records, and support the full order lifecycle from start to finish.
Key Responsibilities
Service existing customer accounts and help establish new accounts through referrals and incoming calls.
Build and maintain strong customer relationships by providing responsive, solution-oriented support.
Enter quotes, sales orders, purchase orders, RMAs, invoices, and related data into Sage 100 accurately and efficiently.
Confirm pricing, delivery dates, inventory status, and shipment updates with customers and vendors.
Research equipment and parts required by customers, including valves, pumps, instrumentation, homogenizers, fittings, and related sanitary processing components.
Obtain vendor quotes and follow up on lead times, acknowledgments, and delivery schedules.
Communicate effectively with customers, vendors, internal departments, and outside sales representatives.
Resolve customer complaints and order discrepancies while keeping management informed.
Update CRM with communications, follow-ups, and task activity related to quotes and orders.
Run reports for open orders and ensure orders are reviewed, completed, and properly closed.
Audit orders for accuracy, open or unreceived items, and supporting documentation before closing.
Maintain organized records in the paperless system, including customer requests, purchase orders, vendor acknowledgments, drawings, freight documents, invoices, and related files.
Organize project documentation, maintain logs, and assist with project cost reporting as needed.
Prepare packing lists and other order-related documentation.
Provide daily and weekly status updates to management.
Perform other administrative and clerical duties that support order management and inside sales operations.
Qualifications
High school diploma or equivalent required; Associate degree preferred.
3+ years of order entry, inside sales support, or related customer service experience preferred.
Knowledge of sanitary or industrial liquid processing equipment is strongly preferred, including valves, pumps, instrumentation, homogenizers, and fittings.
Experience with Sage 100, ERP systems, CRM platforms, and paperless document systems preferred.
Strong computer skills, including Microsoft Office; advanced Excel proficiency preferred.
Typing speed of 40+ WPM.
Strong attention to detail and ability to manage multiple priorities.
Strong problem-solving skills and ability to research and resolve issues independently.
Excellent verbal and written communication skills.
Ability to develop rapport with client management and maintain strong working relationships.
Ability to manage customer expectations professionally and effectively.
Able to present information persuasively and communicate confidently across customer, vendor, and management settings.
Ability to help move sales and service conversations toward commitment by addressing customer concerns with empathy and professionalism.
