The Leasing Contract Manager position directly interacts with the Chief Capital Assets Officer on all leasing matters.

This position supports Parishes negotiating agreements with prospective and current tenants, while maximizing rental income and occupancy levels for Parish properties. The leasing manager ensures that all lease transactions are structured to meet the Parish’s business goals, support the Parish mission, and community, and comply with Archdiocesan and departmental policies and “best practices.” He or she will work directly with other Archdiocesan departments and other third parties to complete lease negotiations and documentation.

The Leasing Contract Manager position is largely outward facing, and successful candidates need to have a high customer-service mentality and the ability to work collectively with a broad range of constituents. Additionally, the role requires management of many transactions at various stages of completion, concurrently.

The Leasing Contract Manager position is responsible for the entire leasing process from the initial tenant/parish inquiry through lease execution and occupancy of the property by the tenant.

Pre-Leasing

Manage tenant inquiries and screen potential tenants; respond to tenant referrals from parishes; tour properties with prospective tenants.

Perform due diligence, including review of tenant applications, tenant financial statements, and tenant credit reports.

Work with Archdiocese Planning & Construction Department (P&C) to review tenant’s scope of work and to ensure that any tenant work complies with Archdiocesan standards and procedures; identify any life/safety issues that must be resolved prior to tenant occupancy.

Provide guidance to parishes regarding key lease terms and help parishes and their respective finance councils evaluate lease alternatives.

Leasing

Negotiate all lease terms for new lease agreements, new license agreements, and lease renewals and extensions on behalf of the Parish and the Archdiocese.

Assemble documentation that is necessary for the Archdiocese Office of Legal Services to prepare the lease documents.

Work with legal counsel in preparing lease documents--provide necessary back-up documentation, review lease drafts, and ensure that lease documents are fully executed.

Lease Administration

Monitor and keep track of critical lease dates following lease execution (e.g. completion dates for Tenant Initial Work, lease renewal dates, etc.).

Work with Risk Manager to resolve property and liability insurance issues with tenants; Review certificates of insurance from tenants.

Work with P&C to implement a yearly capital budget for projects.

Notify the Parish and tenants regarding annual rent increases and increases in utility costs.

Work with property manager to ensure mutual cooperation and respect between landlord and tenant in space sharing arrangements.

Provide assistance to the Parish in billing, collection, and default notices.

Represent and advise the Parish in resolution of ongoing or new lease and property management issues.

Work with property manager on move-out of tenants and orderly transition of leased property to next tenant or return of property to Parish use.

Miscellaneous

Help develop strategic leasing plans for the Archdiocese and parishes including the development of lease collateral materials.

Make presentations to Parish Operations, Vicariates, and other groups within the Archdiocese.

Assist Directors of Vicariate Operations (DVOs) in responding to inquiries from pastors on tenant/lease matters.

Requirements And Preferences

Education Requirements: BA/BS degree or equivalent work experience.

Certifications Preferred: Illinois real estate broker’s license.

Experience Required: 5+ years prior of real estate leasing, property management or general real estate transactional experience.

Skills Required: Excellent oral and written communication skills, strong organizational skills, ability to work on multiple projects with minimal supervision, strong customer service skills, knowledge of basic real estate lease terms and finances.

Skills Preferred: Knowledge of Microsoft Office applications.

Other Considerations: Local travel Required.

This position has an annualized salary range of $76,238.41 to $95,298.02. An employee’s pay within the salary range will be based on many factors including but not limited to: relevant education, qualifications, experience, skills, geographic location, and organizational needs.
