This position is available at any of our office locations.
The Pursuit Coordinator plays a vital role in supporting the firm’s business development and marketing efforts by coordinating proposals, developing content, and managing pursuit-related resources. This position works closely with the Pursuit Team, Business Development leaders, and technical staff to deliver high-quality proposals and marketing materials that strengthen the firm’s market presence. The Pursuit Coordinator is highly organized, detail-oriented, and creative, balancing multiple deadlines while ensuring consistency and excellence across all deliverables.
Responsibilities
Support Pursuit Team in proposal coordination and preparation
Support national marketing efforts of upcoming marketing priorities and deadlines
Virtually attend Studio meetings for locations within markets as needed
Assist in the maintenance of events and pursuit tracking with Marketing Manager and BD Team
Proposal leadership, coordination and assistance in proposals in all markets
Consultant leadership and coordination
Website content updates
Market Resource Management: Coordination and content generation of collateral materials with knowledge manager ie. Proposal content brochures, insight pages, web content, social media etc.
Video, digital and promotional content creation: Assist in the development, strategy and production of all promotional materials, with a focus on video content.
Coordinate studio social media: Meet with Digital Media Coordinator as needed to discuss content and implementation
Studio project data: Coordinate Studio Knowledge data with Knowledge Manager each week. Follow up on progress and send updates or links to the studio. Ie. new project sheets, VP data, award submissions, brochures and spark pages, proposal content that goes into resource space.
Update federal | state | local | market forms and guidelines: Work with Knowledge Leader for Maintenance of all Federal State, Local forms including: SF 330 (annual update), Registrations for studio personnel: AIA, Industry ,SAM, DUN, HUB, Cities/Counties/State Procurement for Market Sector including IMS
Annual reporting: Including but not limited to: Annual Report, final Win Loss Rates and Proposal Analysis and end of the year stats
Studio tradeshow management: Work with Communications Coordinator to plan Tradeshow materials and implementation as needed
Quality assurance and proofreading of marketing materials
Leadership development: Proposal coordination, strategy and implementation of marketing opportunities in written and digital content. Engagement of internal committees and content creation of internal/external promotional materials

Qualifications Education & Experience
Bachelor’s degree in Marketing, Communications, English, Journalism, Business, Architecture, or a related field (or equivalent work experience).
2–5 years of experience in marketing, business development, or proposal coordination within the A/E/C industry preferred.
Experience with federal, state, and local procurement processes (including SF330 and other government forms) a plus.
Knowledge of the architecture, engineering, or construction industry highly desirable.
Skills & Competencies
Strong writing, editing, and storytelling skills with the ability to translate technical content into compelling narratives.
Proficiency in Adobe Creative Suite (InDesign required; Photoshop/Illustrator a plus) and Microsoft Office (Word, Excel, PowerPoint).
Strong organizational and project management skills, with the ability to manage multiple deadlines in a fast-paced environment.
Detail-oriented with a commitment to quality assurance, proofreading, and brand consistency.
Experience with CRM systems, databases, and digital content platforms (OpenAsset, Joist, Monday.com or similar tools) a plus.
Strong interpersonal skills; able to collaborate effectively across offices, markets, and disciplines.
