
Property Management & Brokerage Administrator

We are seeking a Brokerage & Property Management Administrator to support the operational success of both the Brokerage and Property Management departments within our commercial real estate firm. This exempt, full‑time role requires a professional who can exercise independent judgment, discretion, and initiative while managing essential operational and financial processes, adopting new technology tools quickly, and providing high‑level administrative and client support.

Key Responsibilities: Brokerage Support
Gather and analyze market data to support broker initiatives.
Provide ongoing technical support to brokers in navigating digital platforms, troubleshooting issues and streamlining workflows.
Utilize a variety of real estate and marketing software platforms (e.g., CoStar, LoopNet, CREXi, Adobe, Canva, Constant Contact, BaseCamp) with the ability to quickly learn and adapt to new tools and updates.
Maintain internal and external listing databases (MLS) with accuracy.
Prepare and review listing agreements, leasing proposals, and purchase/sale agreements.
Proactively manage deadlines, anticipate needs, and ensure brokers are well‑supported.
Property Management Support
Process and code vendor invoices using property accounting software.
Track vendor contracts and insurance compliance, including expirations and renewals.
Prepare tenant billbacks, lease digests, and tenant notices.
Dispatch vendors for maintenance and repairs, coordinating with tenants to ensure timely completion of work orders.
Enter, track, and manage work orders within property management accounting systems.
Maintain positive, professional communication with clients, tenants, vendors, and internal teams while resolving routine issues with discretion.
Qualifications:
Minimum 3 years of corporate experience; at least 1 year in commercial real estate preferred.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) with familiarity in CRM and property management systems.
Ability to quickly learn and effectively utilize new software and technology.
Familiarity with commercial lease and sale terminology.
Excellent written and verbal communication skills.
Strong attention to detail with the ability to manage high volumes of information.
Proven ability to anticipate needs and independently solve problems.
Confident handling sensitive information with discretion and judgment.
Positive, professional demeanor with strong interpersonal skills.
