
Personal Assistant to Co-Founder and Executive

We are seeking a highly organized, proactive, and discreet Executive Personal Assistant to support the Co-Founder and Executive of a well-established, fast-growing music artist management, record label, and music media company. This role is primarily focused on providing direct, high-level support to the Executive, ensuring their professional and personal life operates efficiently and seamlessly.
The ideal candidate thrives in fast-paced environments, anticipates needs before they arise, and can handle sensitive information with the highest level of discretion. Because the CEO operates across multiple businesses, artists, projects, and media initiatives, this role requires exceptional organization, adaptability, and strong judgment.
While the position is centered on executive support, the assistant may occasionally assist with projects related to company operations, artist initiatives, or personal matters for the Executive.
Key Responsibilities Executive Support
Manage the Executive’s complex calendar, including meetings, travel, events, and personal commitments
Screen and manage incoming communications, including emails, calls, and requests for meetings
Prepare meeting agendas, briefing materials, and follow-up notes
Track action items and ensure tasks and deadlines are met
Assist with scheduling across multiple companies, artists, and partners
Coordinate some domestic and international travel
Administrative & Operational Assistance
Assist with document preparation, contracts, presentations, and reports
Coordinate meetings with artists, managers, executives, and partners
Help manage project timelines and communications across internal teams
Conduct research and compile information for business initiatives, deals, or strategic decisions
Personal Assistance
Assist with personal scheduling, reservations, and logistics
Coordinate personal travel and household logistics when needed
Handle errands, personal appointments, and other personal administrative tasks
Help maintain organization across both personal and professional priorities
Special Projects
Support special projects across the Executive’s businesses as needed
Assist with events, industry conferences, artist activations, and company initiatives
Help coordinate with external partners, agencies, and vendors
Qualifications
3+ years of experience as an executive assistant, personal assistant, or similar role
2+ years of experience in the music industry
Exceptional organizational and time management skills
Strong written and verbal communication abilities
High level of discretion and professionalism when handling confidential information
Ability to anticipate needs and solve problems independently
Comfortable operating in a fast-paced, entrepreneurial environment
Proficiency in Google Workspace, Microsoft Office Suite, and calendar management tools
Flexibility with hours when necessary to support travel, events, or urgent needs
Preferred Experience
Experience supporting a founder, CEO, or high-level executive
Familiarity with the music, entertainment, and media industries
Experience coordinating complex scheduling across multiple time zones
