Position Overview We are looking for a

highly organized, detail-driven Transaction Coordinator

who thrives in a fast-paced environment and takes ownership of the contract-to-close process.

This role is critical to the success of our operations. You will be the

central hub of communication and execution —ensuring every deal moves smoothly, deadlines are met, and clients have a seamless experience.

This is not an entry-level admin role—we are looking for someone who can

think, problem-solve, and take initiative .

Key Responsibilities Transaction Management

Manage all transactions from

contract to close

with speed, accuracy, and accountability

Create and maintain timelines to ensure all key deadlines are met

Proactively identify and resolve issues before they impact closing

Coordination & Communication

Serve as the primary point of contact between

clients, agents, attorneys, lenders, and vendors

Coordinate:

Certificate of Occupancy (CO)

Fire inspections

City inspections

Appraisals

Mortgage milestones

Closing logistics

Provide consistent updates to all parties throughout the transaction

Documentation & Compliance

Review contracts, addendums, and disclosures for accuracy and completeness

Ensure all required documents are collected, signed, and properly filed

Maintain clean, organized, and up-to-date transaction files

Client Experience

Deliver a

5-star experience

to every client

Act as a calm, professional guide throughout the transaction

Ensure no client ever feels out of the loop

Files are

on time, organized, and fully compliant

Transactions close

without unnecessary delays or surprises

Agents trust you completely to handle the backend

Clients consistently have a

smooth, professional experience

Qualifications Required

1–2+ years of experience in real estate transaction coordination or similar role

Strong organizational and time management skills

Excellent communication (written & verbal)

Ability to manage multiple transactions at once without dropping details

High level of accountability and ownership

Preferred

Experience with

Follow Up Boss (FUB)

and/or

Open To Close (OTC)

Familiarity with New Jersey real estate processes (COs, inspections, attorneys, etc.)

Experience working in a

high-volume real estate environment
