The Assets Coordinator is responsible for the organization, accuracy, and lifecycle management of RW Guild’s digital and print assets across all brands. This role owns the integrity of our image and file ecosystem—ensuring that product imagery, retouched files, originals, and formatted assets are correctly stored, tagged, versioned, and deployed across digital, print, sales, and press needs. Execution-focused and systems-driven, this role serves as the central owner of our Digital Asset Management (DAM) system and file workflows. By maintaining clean, reliable, and accessible assets, the Assets Coordinator enables Marketing, Merchandising, Digital, Sales, and Press teams to move efficiently and consistently, without duplication or asset loss. Key Responsibilities: Digital Asset Management & File Integri t y • Own and manage RW Guild’s Digital Asset Management system across all brands. • Ensure all assets are correctly named, tagged, versioned, and archived according to established standards • Maintain clear differentiation and retention of original files, retouched finals, crops, and formatted outputs. • Enforce consistent metadata and tagging structures to support searchability. • Maintain documentation outlining asset governance standards and workflows Image Operations and Distribution • Serve as the primary point of contact for image requests across teams, coordinating intake and prioritization with Marketing and Merchandising partners. • Pull, format, and deliver image assets for website uploads, campaigns, sales needs, press, and internal presentations. • Prepare and upload properly formatted imagery for Shopify, ensuring alignment between DAM assets and live site imagery. • Proactively identify missing, outdated, or inconsistent imagery and flag gaps to Marketing and Merchandisin g. Website & Digital File Support • Format, resize, and prepare imagery for digital use across PDPs, collections, and editorial pages. • Ensure imagery uploaded to Shopify reflects the most current, approved retouched files. • Maintain alignment between internal asset libraries and live digital assets. • Build and maintain press image packages, ensuring accuracy, consistency, and ease of use for external partners. • Update and populate signage templates, tear sheets, line sheets, and sales tools with correct imagery. • Ensure all print and sales assets are using approved, current image files and versions. • Support the ongoing upkeep of templates as imagery is updated or expanded. Cross-Brand Asset Coordination • Manage assets across all RW brands, ensuring consistent standards while respecting brand-specific needs. • Act as a reliable point of truth for asset availability, status, and usage questions. • Surface inconsistencies, risks, or system gaps and propose practical solutions. Process & Systems Support • Support audits, system cleanups, and ongoing improvements to asset workflows. • Contribute to scalable asset management practices that support growth without sacrificing accuracy. • Partner with Marketing, Merchandising, Digital, Sales, and Press to ensure asset needs are met cleanly and on time. Qualifications: • Strong experience managing digital and print assets in a retail, e-commerce, or brand environment. • Proficiency in InDesign, with the ability to update and populate existing templates (signage, tear sheets, press and sales materials). • Strong working knowledge of Shopify, particularly image formatting, uploads, and asset maintenance. • Highly detail-oriented with strong organizational discipline and file hygiene. • Comfortable working across multiple systems and managing large volumes of assets. • Clear communicator with the ability to manage requests and prioritize effectively. • Interest in luxury, design-led, or craftsmanship-driven brands is a plus.
