Who We Are Amica Center for Immigrant Rights ("Amica Center" for short) is the Capital Area Immigrants’ Rights (CAIR) Coalition, renamed to better reflect our expanded mission and geographic reach. Since our founding in 1999 we have grown significantly and added new services to support immigrants in detention.

Position Summary The Senior Coordinator provides essential administrative and project support to the Development and Communications department, enabling the team to function effectively and efficiently. The Senior Coordinator executes assigned tasks and leads projects on behalf of the team, working with regular oversight to complete and solve routine and moderately complex issues that contribute to the success of the department. Responsibilities include completing a variety of administrative and database‑management outreach/event coordination tasks, and assisting with leading select projects or initiatives aligned with Amica Center’s mission.

General Duties and Responsibilities Administrative Tasks

Serve as the primary contact for the department by responding timely to internal and external inquiries

Organize, prioritize, and manage incoming and outgoing communications (email, mail, phone)

Maintain inventory of office and event supplies

Maintain department calendars and provide support for internal and external meetings by scheduling meetings, coordinating logistics, booking rooms/spaces, distributing agendas, preparing meeting materials, and taking meeting notes

Organize and maintain department files, including appeals, contracts, award letters, grant agreements, donor correspondence, etc.

Organize and maintain communication assets, including client stories, photos, media hits/clippings, etc.

Track expenses, manage invoices, and submit credit card receipts

Data and Database Management

Reconcile daily deposits received via bankcard, wire transfers, and third‑party platforms

Enter gifts, pledges, and grants received via checks, wire transfers, and third‑party platforms, accurately and promptly in EveryAction (EA)

Manage third‑party donation platforms by maintaining log‑in credentials, ensuring all information is up to date, downloading reports, and troubleshooting issues

Create, update, and maintain constituent records regularly to ensure data integrity

Generate contribution reports using EA and assist the Finance team with monthly reconciliation

Generate various types of lists using EA, including acknowledgement lists, event registration lists, appeal lists, and work with vendors to complete mailings

Outreach and Event Support

Research and secure venues, create timelines, and manage vendor relationships for select virtual and in‑person events

Attend select events, and assist with event set‑up, breakdown, check‑in/registration, and troubleshoot to ensure a seamless experience

Handle invitations, manage registration lists, assist with event promotion, prepare event briefings and provide post‑event reports

Serve as the primary contact for outreach events by responding to external inquiries and working with internal teams to identify participants, preparing materials, and coordinating logistics between staff and hosts

Work with leadership, communications, program staff, and external participants to align event goals and ensure a successful event

Qualifications Required

The Senior Coordinator has excellent communication skills, can follow instructions, articulate challenges, anticipate issues, and request support as needed. They demonstrate practical decision‑making, adaptability, and timely follow‑through on assigned projects.

At least three years of relevant nonprofit operations and fundraising/development experience, including use of EveryAction. Prior or additional experience in immigration is beneficial.

Superior organizational skills and attention to detail, ability to multi‑task and prioritize, and experience with database management and timely communication of delays or plan changes.

Demonstrates flexibility to ensure productive relationships with colleagues and external constituents; patience and ability to adjust and provide appropriate action when emerging needs arise.

Position Type : Full‑time, non‑exempt

Reports To : Development and Communications Director

Supervisory Responsibility : None

Hiring Timeline : Applications will be reviewed on a rolling basis

Salary : $53,500 - $77,000 (Amica Center uses a compensation framework based on position and years of experience to promote equity)

Location and/or Travel Requirements : The position will be based in the Washington, D.C. or Baltimore, MD office. Candidates should live within 30 miles of the primary office.

Telework : Amica Center operates a hybrid work environment; staff are required to work at least one day per week in‑office, with additional attendance or travel as needed

COVID‑19 Vaccination All employees are required to be fully vaccinated and boosted against COVID‑19. To be fully vaccinated means completing the full dosages for the vaccine type obtained as designated by the CDC. If boosters are recommended, employees must receive the booster within thirty (30) days of eligibility.
