About the Role The Property Administrator provides administrative support to the Property Management team by coordinating workflows, maintaining accurate records, and managing the intake and routing of tenant and vendor requests.
This role supports day-to-day property operations through disciplined execution of administrative tasks, enabling Property Managers and Assistant Property Managers to focus on tenant relationships, issue resolution, and asset performance.
This position is designed as an entry-level role within commercial property management and may serve as a development path toward an Assistant Property Manager position.
Key Responsibilities
Serve as the first point of contact for routine tenant and vendor inquiries, routing requests to the appropriate team members and ensuring service requests are logged in approved systems.
Coordinate administrative aspects of property operations including vendor scheduling, work order tracking, routing incoming mail and deliveries, and communicating updates to tenants regarding service requests or property matters.
Support tenant onboarding and move-in/move-out processes through administrative coordination, documentation management, and communication with tenants and vendors.
Maintain organized property records by collecting and tracking required documentation such as tenant and vendor compliance records, contracts, and other operational documents.
Provide administrative support for financial workflows including routing invoices, preparing tenant statements, assisting with billbacks, and maintaining related documentation.
Maintain accurate property, tenant, and vendor information across property management systems while supporting the consistent use of internal processes and workflows.
Required Skills/Abilities
Strong organizational skills with attention to detail and follow-through
Ability to manage multiple tasks and priorities in a fast-paced environment
Clear written and verbal communication skills; professional and service-oriented
Comfort working within defined processes and using multiple systems and tools
Ability to maintain organized documentation and meet deadlines
Ability to identify issues and elevate appropriately to senior team members
Interest in learning commercial property management operations and systems
Education and Experience
Bachelor’s degree preferred or equivalent experience
0–2 years of experience in administrative, customer service, or real estate-related roles
Strong organizational skills and attention to detail
Clear written and verbal communication skills
Ability to follow defined processes and work across multiple systems
