Job Description GENERAL DESCRIPTION
The Constituent Affairs Division (CAD) is the OAG’s interface with the public. Incoming contacts from the public, whether by phone, mail, or email, are received by CAD and are handled by CAD or routed elsewhere in the agency to be handled. The Customer Service Rep will respond to the main OAG switchboard, mail tracking, routing agency correspondence, and filing. Work will involve assisting with clerical tasks, reports, and other duties as needed.

ESSENTIAL POSITION FUNCTIONS
Respond to inquiries on the main OAG switchboard by providing information and referrals; record required information as needed.
Assist with clerical tasks, reports, and other duties as assigned.
Maintain various internal tracking and filing systems.
Read and route agency correspondence; prepare outgoing mail and courier requests.
Greet visitors, respond to inquiries, and direct them to the appropriate staff.
Perform related work as assigned.
Maintain relevant knowledge necessary to perform essential job functions.
Attend work regularly in compliance with the agreed-upon work schedule.
Ensure security and confidentiality of sensitive and/or protected information.
Comply with all agency policies and procedures, including those pertaining to ethics and integrity.
MINIMUM QUALIFICATIONS
Education: Graduation from high school or equivalent.
Experience: One year of full‑time experience in administrative support, customer services, or public information; may substitute thirty credit hours from an accredited college or university on a year‑for‑year basis.
Skills: Computer use for word‑processing and data entry/retrieval.
Skill: Handling multiple tasks, prioritizing, and meeting deadlines.
Skill: Effective oral and written communication.
Skill: Exercising sound judgment and effective decision making.
Ability: Handling stressful situations; receiving and responding positively to constructive feedback; working cooperatively with others in a professional office environment; providing excellent customer service.
Ability: Working in person at assigned OAG work location, performing all tasks in the designated workspace within OAG location, and collaborating with coworkers for the entire work week (unless on approved leave).
Ability: Arranging for personal transportation for business‑related travel.
Ability: Working more than 40 hours as needed and in compliance with the FLSA.
Ability: Working 8:00 a.m. – 5:00 p.m., Monday through Friday.
Ability: Lifting and relocating 30 lbs.
Ability: Traveling up to 5% including overnight travel.
PREFERRED QUALIFICATIONS
Education: Bachelor’s degree from an accredited college or university.
Experience: Multi‑line switchboard and clerical tasks.
Knowledge: State government.
Skills: Data entry, word‑processing, mail merge and using the Internet.
Other Language: Proficiency in English and Spanish.
Ability: Typing 35 wpm.
