Event Sales Administrator
position is designed to support the event sales team. The role will provide the Event Sales Manager(s) bandwidth to execute sales efforts and continue driving sales with outside sales efforts. This position is very self-motivating as it requires the sales administrator to take initiative to ensure that all BEOs are correct, information is communicated effectively to the teams and guests, and events are executed correctly.

Salary Expectations: $20/hr
This role is an administrative support position and is not eligible for commission-based compensation.
Job Responsibilities:
This is a full-time, in-office role (40 hours per week). Schedule will vary weekly based on event volume and business needs and may include evenings, weekends, and holidays, as determined by the Director of Sales and National Director of Sales.
Support the Event Sales team with event execution oversight to ensure standards are met, perform daily room set up checks, and maintain an understanding of all aspects of private events at Pinstripes (food & beverage menus, booking standards and execution).
Manage all BEO-related activities including: Big Post, Pre-BEO Meeting, BEO Meeting (notetaker), Reposts to kitchen / operations, Printing Invoices
Review upcoming events to identify menus, details, and final payments that need to be finalized and communicate follow-ups to the Event Sales team.
Assist with creating floor plans, collecting final guest count guarantees, and final menu selections when needed
Print and post Daily Schedule of Events for all necessary departments.
Create Staff Event Execution Folders / Packets (Event Summaries – BEO Packets, Signage, Wristbands, Drink Tickets, Menu Labels, etc.).
Use Tripleseat Tasks to communicate event needs with other team members.
Relay any discrepancies between events schedule and/or BEO details to the owning Sales Manager
Ensure event financials are balanced daily and Micros banquet checks are uploaded to Tripleseat.
Maintain organized filing systems and ensure the Sales Office remains clean and organized.
Maintain inventory of event materials (menus, food labels, drink tickets, welcome signage, etc.) and event equipment.
Communicate with guests via phone and in person and ensure events are greeted by a member of the Sales Team during work hours.
Assist in front of house during high-volume event days to ensure event set up and all details are fully communicated to management and staff.
Research and identify event sales opportunities by creating target lists for sales blitzes and maintaining outreach goody bags, sales kits, and other delivery materials.
Assist with making Open Play reservations as needed
Support with any other sales needs to allow for efficient execution and drive sales results.
Uphold all Pinstripes service standards and company policies.
Requirements
Guest focused mindset
Experience in full-service restaurants
Proficiency in Microsoft Office, catering software, a bonus
Strong organizational, multi-tasking and communication skills
Works well in fast paced environment
Can effectively communicate with Management, Culinary, Staff, and Guests
Availability to workdays, nights, weekends, and holidays
Follows the image-grooming guidelines outlined in employee handbook
Physical Requirements:
While performing duties of job, the employee constantly operates a computer and other office devices such telephones, copy machines, etc.; occasionally move about inside the office to access storage areas, cabinets and office machinery; constantly communicate via telephone, email and in-person with others and exchange accurate information
Must be able to lift 50 lbs. at a time
Stand for periods of up to 2 hours at a time
