Broad Overview The Marketing Operations Manager serves as the operational backbone of the marketing organization, ensuring that marketing initiatives across a large portfolio and multiple business units are executed efficiently, compliantly, and with strong data discipline. This role partners closely with Marketing, Regulatory, Legal, Medical, Finance, and external agencies to streamline processes, manage technologies, and optimize marketing effectiveness. The ideal candidate combines strong operational rigor with the ability to manage complex workflows, support congress execution, and ensure compliance through PRC/MLR processes and Veeva Vault systems.
As Marketing Operations Manager, your responsibilities will include: Promotional Review Committee (PRC / MLR) Management Manage all operational aspects of the PRC review process for materials submitted through Veeva Vault / PromoMats
Perform quality control (QC) checks on all materials prior to PRC submission to ensure completeness, accuracy, and readiness
Ensure QC reflects prior reviewer comments and required updates
Set agendas and facilitate PRC meetings, including real‑time documentation of reviewer comments
Partner with Heads of Marketing to prioritize submissions and align timelines with business needs
Act as primary liaison with Regulatory, Legal, Medical, and external agencies to ensure SOP‑compliant processes are followed
Support OPDP submissions in accordance with regulatory requirements
Track material lifecycle including approvals, re‑approvals, expirations, and archiving
Material & Workflow Management Manage material movement through electronic workflows in accordance with PRC SOP timelines
Ensure all materials meet established review criteria prior to circulation
Confirm appropriate linkage of references and relationships between related jobs within Veeva PromoMats
Reconcile, clarify, and incorporate reviewer comments prior to final approval
Schedule and coordinate all meetings related to material review and approval
Establish and maintain tracking systems to monitor document lifecycle and compliance
Congress & Meeting Operations Manage logistics for congresses, including timelines, vendors, internal coordination, liaising registrations, and on‑site support coordination
Oversee operational elements of congress‑related budget management and tracking
Partner with marketing teams to align congress strategy with executional logistics and pull‑through planning
Marketing Operations & Execution Support marketing operations across multiple business units and a large US product portfolio
Manage inventory and fulfillment of marketing materials, including coordination with vendors such as Mimeo
Oversee signature printing in alignment with approved marketing guidelines
Ensure consistency and compliance across operational processes
Technology, Tools & Process Optimization Oversee marketing operations tools and platforms, including Veeva Vault and related systems
Train PRC members and external agencies on tools, workflows, and SOP requirements
Monitor system usage and behaviors to ensure effective and compliant execution
Identify workflow bottlenecks and lead process improvement initiatives
Participate in cross‑functional meetings to address challenges and recommend enhancements
Budget, Data & Reporting Track and manage specific elements of marketing budgets to ensure alignment with approved plans
Analyze marketing and operational data to assess performance and efficiency
Develop reports and dashboards to support leadership decision‑making
Compliance & Governance Ensure adherence to PRC SOPs, timelines, and regulatory requirements across the organization
Identify and escalate instances of noncompliance to management
Coordination with relevant stakeholders to ensure appropriate capture of Sunshine and transparency spend reporting from marketing programs
Creation of processes on an as‑needed basis
Maintain audit‑ready documentation and processes
Additional Responsibilities Perform other operational projects or duties as assigned based on evolving business needs
Support continuous improvement initiatives across marketing operations
To be successful in this role, you should demonstrate: Bachelor’s degree in Marketing, Business Administration, Life Sciences, or related field
Experience in pharmaceutical or biotech marketing operations or commercial operations
PRC/MLR coordination
Hands‑on experience with Veeva Vault / PromoMats
Strong project management and prioritization skills in a fast‑paced environment
Excellent attention to detail and ability to manage complex workflows
Preferred Experience supporting multiple brands or business units
Congress and meeting operations experience
Familiarity with marketing automation, CRM platforms, AI, and/or reporting tools
Experience with data visualization tools
