Description
GEI seeks a Senior Marketing Coordinator to support our company’s growth through the production of high-quality proposals and qualification efforts. This marketer, reporting to the East Region Marketing Manager, will produce winning proposal and qualification packages, support business development efforts, identify opportunities, and provide a deep knowledge of marketing in the AEC industry. The ideal candidate is organized, detail-oriented, can manage multiple deadline‑driven opportunities, and has a strong desire and ability to execute high‑quality marketing products.
GEI seeks a committed, self‑motivated, organized, and detail‑oriented individual who anticipates issues and thrives on creative, independent problem solving within a rapid, deadline‑driven environment. This role primarily supports the Metro NY geography; local knowledge of the NY/NYC area and public procurement process is a plus.
You will be part of GEI’s highly respected marketing organization and a member of the East Region marketing team. There is ample opportunity for mentorship, growth, and teamwork.
The ideal candidate location is in GEI’s Wakefield, MA headquarters. Many marketing staff are centrally located in Wakefield, MA. Candidates will also be considered in one of GEI’s NY offices in NYC, Huntington Station, Ithaca, or Franklin, MA. Candidates reporting from another East region office between Maine and DC will be considered, though preference is for MA or NY.
Essential Responsibilities & Duties
Support development of proposals; understand RFP requirements; develop and proactively manage task lists and processes; update and prepare documents (resumes, project write‑ups, proposals, company services, matrices, SOQs, SF330s, and other related documents); edit covers and graphics, content development, format, review, and edit final documents; coordinate subconsultant documents; produce final proposals; QA/QC all work products and ensure deadlines are met.
Provide marketing support for opportunities through the entire sales cycle, including opportunity and lead identification and tracking, capture planning, proposal development, and interview support.
Update and maintain various written marketing collateral, including project sheets, resumes, award submittals, brochures, templates, and project interview content.
Assist with the planning and execution of company marketing events such as conferences, seminars, and other outreach events.
Participate in marketing professional societies or similar organizations to ensure continuous professional development and networking.
Establish and maintain effective and collaborative relationships with senior seller‑doers.
Maintain current information in marketing databases related to opportunities, clients, projects, personnel, and general knowledge.
Provide market intelligence research, including gathering, documenting, and reporting findings.
Support New York procurement efforts with knowledge of local procurement practices and requirements, including but not limited to tracking diverse businesses and requirements.

Minimum Qualifications
Bachelor’s Degree in Marketing, Business, Communications, English or Journalism is preferred.
Minimum 5 years of marketing experience in the AEC industry with proposal experience. More experienced professionals are encouraged to apply.
Excellent written communication and organizational skills; ability to perform detail‑oriented work, including document layout and production.
Ability to act as a team player with strong communication, collaboration, and customer service skills.
Proficient working with MS Office products (Word, PowerPoint, Excel) and Adobe InDesign; working knowledge of Adobe Creative Suite and CRM systems.
Strong organizational skills with ability to independently handle multiple tasks and meet deadlines.
