
Manager of Division Operations, Enrollment Management and University Marketing A

The Manager of Division Operations, Enrollment Management and University Marketing is the primary administrative support staff person for the Senior Vice President. The Manger serves as a member of the Enrollment Management and University Marketing leadership team and is responsible for assisting the Senior Vice President in all administrative tasks involved in the management of the departments within the division. The Manager reports directly to the Senior Vice President for Enrollment Management and University Marketing and works in conjunction with all Enrollment Management and University Marketing division staff and University personnel.
In alignment with
Stetson’s Strategic Priorities , the Manager will support, lead and ensure operational excellence and assessment of the University Marketing and Enrollment Management operational plans, while safeguarding the effective, ethical, and responsible stewardship of the University’s resources. Through high-level administrative coordination, the position enables the SVP and the division leaders to operate efficiently, transparently, and in alignment with institutional priorities. Essential Job Functions and Responsibilities
Employment duties include, but are not limited to: Manage, organize, and maintain Senior Vice President’s calendar by scheduling appointments, making travel and meeting arrangements, and preparing meeting materials Maintain and manage confidential records that include Enrollment Management personnel and salary budgets Schedule and prepare agenda and meeting materials for the Enrollment Management and University Marketing bi-monthly division meeting, bi-weekly Enrollment Leadership meeting, and Board of Trustee’s Enrollment Management and Marketing Committee meetings, retreats, etc. Answer and screen incoming telephone calls, mail, and visitors on behalf of the Senior Vice President, providing information and assistance when appropriate Compose correspondence and relationship-building communication for the Senior Vice President in forms of memo, letter, email, phone, etc. Serve as Budget Manager for departments within Enrollment Management and University Marketing by assisting with the development of and managing of the budget; manage special budgets as assigned; manage division’s daily budget and day-to-day financial operations with process of check requisitions, purchase orders, departmental purchase orders and expense reports for SVP Work with outside vendors; keep accurate budget information and records; encumber funds for annual usage Support the Campus Visitation team with the following:
Organize and coordinate all elements associated with the J. Ollie Edmunds Distinguished Scholarship interview program each spring; work closely with Edmunds family; communicate for this event with applicants, finalists, families, Edmunds family, judges and Stetson community Coordinate Hatter for a Day Campus Visitation Program Assist with on and off campus reception planning (alumni-admissions receptions, accepted student diners, etc.)
Organize office records and documentation, including and not limited to the division’s policies and procedures, external vendor contracts, and historical information Serve as liaison between the Senior Vice President and Enrollment Management and Marketing staff members and assist in problem solving Serve as a member of the Senior Vice President's senior leadership team Perform project management and other tasks, as assigned by Senior Vice President Perform other site and position specific functions as assigned Required Knowledge, Skills, and Abilities
The knowledge, skills, and abilities for this role include: Ability to perform advanced level of confidentiality, independence, and judgement Ability to perform highly complex administrative and secretarial duties Ability to make decisions in accordance with established policies and procedures Ability to deal effectively and courteously with internal and external inquiries and complaints, through friendly and helpful communication Ability to establish and maintain effective working relationships with students, co-workers, and university constituents Ability to compose effective correspondence and to perform complex office tasks without referral to a superior Ability to secure appointments with university constituents Knowledge of general administrative and office management practices and procedures; knowledge of modern office equipment Knowledge of Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, Adobe, Zoom, Dynamic Forms, Banner Work authorization sponsorship

Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this
