The Proposal Intern supports the preparation and coordination of proposal and pursuit-related materials in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other solicitations. This role provides hands-on experience with proposal development processes, marketing coordination, and business development support within a professional services environment. Working under the guidance of the marketing and proposal team, the intern assists with organizing proposal materials, supporting content development, tracking deadlines, and maintaining marketing resources. The role emphasizes accuracy, organization, and adherence to established brand standards and processes while developing foundational skills in proposal coordination and marketing systems. Key responsibilities include: Participate in marketing and business development meetings to support team coordination, task tracking, and understanding of proposal workflows. Develop familiarity with RTM's services, market sectors, project experience, and personnel to support proposal content. Assist with tracking upcoming RFQs, RFPs, and pursuit opportunities, including coordination of internal team members and deadlines for active pursuits. Support the preparation, organization, proofreading, and formatting of proposals, qualifications, and presentation materials in coordination with marketing and technical staff. Assist with collecting and organizing technical content, resumes, and project information to support proposal development. Help ensure clarity, accuracy, consistency, and adherence to brand standards across proposal materials. Conduct basic market, competitor, and content research to support proposal development and assist with tracking proposal schedules and materials across multiple deadlines. Support preparation of marketing collateral for conferences, seminars, career fairs, and other events. Provide general administrative and operational support to assist proposal and marketing efforts. Marketing systems and data management responsibilities include: Assist in ongoing maintenance and organization of the marketing resource library and proposal-related assets. Support updates to marketing collateral using internal systems and templates. Assist with CRM data entry, updates, and organization. Help track proposal activity and support basic win/loss documentation. Support ongoing organization and improvement of proposal-related processes and materials. Utilize AI-enabled tools under supervision to support content drafting, research, and workflow efficiency. Qualifications and core competencies include: Currently pursuing a Bachelor's degree in marketing, communications, business, or a related field. Strong written and verbal communication skills. Strong organizational skills with a high level of attention to detail. Ability to manage multiple tasks and meet deadlines. Proficiency in Microsoft Office (Word, PowerPoint, Excel). Curiosity and willingness to learn. Collaboration and teamwork. Preferred skills include: Familiarity with Adobe Creative Suite (InDesign, Illustrator) or similar tools. Exposure to CRM platforms or database management. Basic understanding of professional services marketing or proposal processes. Interest in AI-enabled tools for content drafting, editing, or workflow support.
