Sioux Falls, SD and Rapid City, SD Position Summary

The HVAC Inside Sales Representative supports the sales and operations teams by managing the technical, administrative, and logistical aspects of HVAC equipment projects. This role focuses heavily on project management, ensuring that estimates, submittals, equipment selections, order processing, and project documentation are accurate, timely, and aligned with project specifications. While some customer interaction is required, the core responsibilities center on coordinating internal workflows, tracking project progress, and keeping all project stakeholders informed. Key Responsibilities

Project & Order Management

Review plans, specifications, and scope documents to develop accurate HVAC equipment selections and proposals. Create, manage, and update project files—including quotes, submittals, purchase orders, change orders, and delivery schedules. Track project progress from proposal through shipment, ensuring deadlines and milestones are met. Coordinate with purchasing, logistics, and warehouse teams to schedule and monitor equipment delivery. Maintain accurate documentation to support project close‑out requirements. Technical & Administrative Support

Prepare equipment submittals, O&M manuals, and technical documentation. Assist with equipment selections using manufacturer tools and engineering data. Verify bill‑of‑materials accuracy and ensure all required components are included in proposals and orders. Support field teams by providing technical information, updated drawings, or revised documentation as needed Provide occasional support to customers, contractors, and vendors for order status, documentation, or technical questions. Obtain pricing, product updates, and lead times from manufacturers to support accurate quoting. Internal Coordination

Work closely with outside sales, engineering, and project managers to keep projects aligned with customer requirements. Communicate lead times, material availability, and scheduling constraints to internal teams. Flag potential risks or delays early and assist in developing mitigation plans. Provide occasional support to customers, contractors, and vendors for order status, documentation, or technical questions. Obtain pricing, product updates, and lead times from manufacturers to support accurate quoting. Required Skills & Qualifications

Strong organizational and time‑management skills with the ability to juggle multiple active projects. Understanding of HVAC systems, mechanical drawings, and equipment terminology (or willingness to learn). Proficiency with Microsoft Office; experience with CRM/ERP systems is a plus. Excellent attention to detail and ability to follow structured workflows. Strong written communication skills for preparing clear proposals and documentation. Ability to analyze technical information and apply it accurately in project documents. Preferred Background

Experience in HVAC, mechanical contracting, construction supply, or technical sales support. Familiarity with reading mechanical plans and specifications.
