We are seeking a highly organized and detail-oriented Leasing Administrator / Leasing Associate to support leasing operations across a commercial real estate portfolio. This role sits at the intersection of leasing, operations, and marketing, providing critical support to brokers, asset managers, and leadership. Key Responsibilities
Lease Administration & Documentation
Maintain and manage
lease files, stacking plans, and tenant data trackers
across all properties Oversee
move-in/move-out processes , including documentation, approvals, and internal coordination Prepare and distribute
lease documents for execution , including drafting deal summaries for leadership review Maintain
lease correspondence and documentation records
with strict attention to confidentiality and accuracy Support quarterly updates to lease books and ensure alignment with current occupancy and measurements Leasing Operations & Deal Support
Support leasing activity across the portfolio, including
deal tracking, proposal preparation, and lease execution Coordinate with brokers, tenants, legal counsel, and internal teams throughout the leasing lifecycle Attend leasing meetings, property tours, and deal discussions as needed Provide leasing data and reports, including
rent rolls, tenant profiles, and financial summaries Manage brokerage agreements, commission processing, and related documentation Maintain organized deal files and pipeline tracking through internal systems (e.g., SharePoint) Systems & Platform Management
Serve as the primary administrator for leasing platforms (e.g.,
VTS ), including: Managing access and user training Ensuring data accuracy and system integration Tracking deal activity and resolving discrepancies Coordinate across internal systems (e.g., MRI) to ensure leasing data consistency Marketing & Leasing Support
Managing listings and digital platforms (e.g., VTS, RealtyAds) Scheduling photoshoots and coordinating marketing materials Supporting creation of leasing brochures, presentations, and property microsites Partner with brokers and marketing vendors to ensure accurate and compelling property representation Assist with space planning coordination and architectural renderings for prospective tenants Financial & Lease Management Support
Track and manage
Letters of Credit (LOCs) , including documentation, renewals, and compliance tracking Support lease data accuracy by reviewing
rent rolls, lease logs, and system records Coordinate with accounting and property management teams on lease-related financial items General Administrative & Operational Support
Maintain organized and secure documentation, including closing binders and corporate records Provide administrative support to leasing and asset management leadership Act as a resource for internal teams on leasing processes and documentation standards Qualifications
Required
2–5 years of experience in
commercial real estate, leasing administration, or property management Strong organizational and document management skills Ability to manage multiple priorities in a fast-paced environment Proficiency in Microsoft Office (Excel, Word, PowerPoint) Preferred
Experience with using leasing and property management systems (e.g.,
MRI, VTS, Avid, SharePoint ) Exposure to lease documentation, brokerage coordination, or deal support Experience working with brokers, tenants, or legal teams Detail-oriented with strong accuracy and follow-through Strong communication and coordination skills Ability to manage confidential information with discretion Proactive, solution-oriented mindset Interest in growing within commercial real estate
