Customer Service Job Description
*Must be Japanese Bilingual*
Title: Customer Service
Location: Brentwood, TN 37027 (Tennessee near Nashville)
Employment: Direct-hire; Full-time
Industry: Trading company
Customer Service Representative acts as interface between clients and other related parties (e.g., warehouses, freight forwarders, and suppliers), and is responsible for arranging/ coordinating product shipment and domestic/ international logistics transaction to ensure smooth and on-time deliveries to customers and regulatory compliance. This position also supports Management in sales and business development activities. Additionally, this position performs various general affairs and office administrative assignments to ensure seamless administrative operations and office services of the Company.
Customer Order Fulfillment & Logistics Coordination
Receive and enter orders from customer.
Submit necessary shipping documents.
Check inventory levels.
Respond to customer and supplier inquiries about order status, changes, or cancellations.
Place orders to suppliers.
Inventory Control
Assist in inventory control and planning by checking the usages or order history from customers and Inform Manager any inventory changes (e.g., unusual activities/no activities).
Reconcile warehouse inventory with the inventory data in company's computer system periodically.
Prepare and conduct quarterly physical inventory at warehouse, and work with colleague and Management to troubleshoot quantity discrepancy if any.
Control and plan inventory of warehouses at proper level by analyzing order history and product usages of customers and by forecasting future orders from customers and product availability of suppliers.
Office Administrative Services
Perform variety of administrative functions for seamless administrative operations of the company, including making necessary research and/or contacts both inside and outside of the company, communicating/ negotiating with vendors.
Regulations Compliance
Ensure that all operations, files, database and record keeping relevant to import/export activities are in compliance with applicable laws/ regulations (e.g., Foreign Exchange and Foreign Trade Control Law, Antitrust Law, Toxic Substance Control Act "TSCA") within the area of responsibilities.
Export Delivery Coordination
Arrange international orders and product deliveries on a daily basis by receiving orders from customer and entering customer order in SAP.
Other Responsibilities
Maintain complete and open lines of communication with other personnel, function, or department to facilitate operations and interaction in the organization.
Keep Management informed of status and progress, ensuring that regular and periodical communication takes place.
Organize, prioritize and complete assigned tasks efficiently while managing time effectively.
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and keeping abreast of industry trends and related compliance issues within the area of responsibilities.
Perform other duties and responsibilities as required or requested by Management.
Requirements
General PC skills including Word, Excel, PowerPoint, Outlook.
Teamwork Oriented
Ability to communicate effectively with customers, colleagues, and management
Must be Japanese Bilingual
Benefit Health/Dental Paid Time Off: 1.08 days earned per month after trial period 2-5 years = 13 PTO days 6-10 years = 18 TPO days 11 years – = 26 TPO days Company Holidays: Most federal holidays (13 days in total as shown on Employee Handbook)
