Records Specialist (Temporary)
Temporary Assignment Position Summary We are seeking a detail-oriented
Records Specialist
to support records management operations. This role is responsible for processing public records requests, maintaining accurate digital and physical files, and ensuring compliance with state and federal regulations.
Key Responsibilities Request Processing
Receive, review, and fulfill public records requests, subpoenas, and internal requests
Communicate with requestors via phone, email, or in person
Database Management
Input, update, and maintain records with high accuracy (90%+)
Ensure all data is complete and properly documented
File & Records Management
Purge, sort, label, and organize physical files
Scan and upload documents into an Electronic Records Management System (ERMS)
Maintain organized and accessible file systems
Compliance & Quality Control
Ensure records comply with Arizona Public Records Law and internal policies
Audit records for accuracy, duplicates, and completeness
Securely handle and distribute sensitive information
Information Retrieval
Process and retrieve records for authorized personnel
Ensure proper tracking and documentation of requests
Additional Duties
Support special projects and perform other administrative tasks as needed
Required Qualifications
High school diploma or equivalent (Associate or Bachelor’s preferred)
1–2 years of experience in data entry, records, or clerical work
Proficiency in Microsoft Office (Word, Excel) and database systems
Strong attention to detail and accuracy
Ability to maintain confidentiality
Strong communication and interpersonal skills
Preferred Qualifications
Experience with records management systems (e.g., SharePoint)
1–3 years of records management experience
