This position is responsible for sourcing parts, building accurate repair estimates, and coordinating with vendors, technicians, and customers to ensure timely and efficient service delivery. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced environment. You will play a key role in keeping operations running smoothly by ensuring parts availability, accurate pricing, and clear communication throughout the repair process. Key Responsibilities Source and Order Parts Research, source, and order parts for commercial kitchen equipment including ovens, fryers, steamers, dishwashers, and refrigeration units. Ensure timely and cost-effective procurement. Build and Manage Estimates Review technician diagnostics and create accurate repair estimates including parts, labor, and additional charges. Ensure estimates are clear and customer-friendly. Vendor Coordination Communicate with manufacturers and suppliers to confirm pricing, availability, and lead times. Maintain strong vendor relationships. Work Order Management Update and manage work orders with parts and estimate details, ensuring accuracy and completeness throughout the service lifecycle. Customer Communication Provide updates to customers regarding estimates, approvals, parts status, and repair timelines while maintaining professionalism and clarity. Track Parts and Inventory Monitor parts orders, track shipments, and assist with maintaining organized inventory records as needed. Utilize Service Systems Gain proficiency in service management systems to process estimates, track parts, and manage work orders efficiently. Cross-Functional Support Work closely with dispatch, technicians, and leadership to ensure smooth coordination of service jobs and timely completion. Qualifications 24 years of administrative, parts coordination, or estimating experience (service or repair industry preferred)
Familiarity with commercial kitchen equipment, HVAC, or refrigeration parts is a plus
Strong communication skills - both verbal and written
Excellent organizational and multitasking abilities
Ability to prioritize in a fast-paced environment
Comfortable working with service software, Microsoft Office, and data entry systems
Experience working with vendors, purchase orders, and pricing is preferred
Team-oriented mindset with a proactive, problem-solving attitude Compensation Transparency The advertised pay range for this position is $23-$26.
