Our Customer is seeking an

Executive Assistant

on a

contract basis

to help support their business needs. This role is

hybrid in El Segundo, CA.

The primary responsibility of this position is to provide executive administrative support for assigned Executive(s) in accomplishing their goals and objectives through an understanding of the Executive department and team operations, culture, and policies and procedures.

Responsibilities

Provide high-level administrative support to executives and departments to ensure efficient operations

Manage complex calendars, scheduling, and reminders to optimize executive productivity

Coordinate travel arrangements, including lodging, transportation, and itineraries

Prepare and process expense reports, purchase orders, and invoices

Draft, edit, and proofread emails, memos, presentations, and other communications

Maintain strict confidentiality when handling sensitive and executive-level information

Provide program management support to ensure deadlines and deliverables are met

Plan and coordinate meetings, including agendas, logistics, and follow-ups

Support departmental operations, including ordering supplies, coordinating events, and managing logistics

Develop and maintain an understanding of business operations, workflows, and organizational structure

Assist in creating departmental materials such as policies, programs, and training documents

Screen and manage communications, routing inquiries appropriately, and responding when needed

Escalate critical issues to leadership when necessary

Collaborate with internal and global stakeholders, including executives and administrative teams

Provide backup support to other executive assistants as needed

Ensure adherence to company policies, safety protocols, and quality standards

Skills and Qualifications

Minimum 7+ years of experience supporting executives or C-level leaders

Associate degree required; Bachelor’s degree preferred

Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint

Strong organizational and multitasking abilities with attention to detail

Strong written and verbal communication skills

Strong interpersonal skills with the ability to work across all levels of an organization

Ability to handle confidential information with discretion

Strong problem-solving skills and sound judgment

Ability to manage multiple priorities in a fast-paced environment

Strong program coordination and project management support experience

Ability to work independently and collaboratively

Professional, diplomatic, and adaptable working style

Preferred Qualifications

Bachelor’s degree with 5+ years of executive support experience

Experience supporting global teams and senior leadership

Experience coordinating large-scale meetings, events, and travel logistics
