The Executive Associate provides full administrative support to the Senior Vice President, MAx and basic administrative support to the Executive Director, MAx Strategy & Operations. We are looking for a dynamic, performance driven, well organized and flexible critical and strategic thinker with proven prioritization and multi-tasking skills who thrives in a fast-paced environment. Aside from being able to work independently and make decisions on behalf of the SVP regarding calendar and travel events, the Executive Associate must be able to perform project focused duties and understand how to work professionally with matrix teams. In addition, the candidate will provide leadership and advocacy for a large, highly experienced and well-established group of administrative professionals in the MAx organization. The Executive Associate sits on the MAx Leadership Team and is considered a key stakeholder. Confidentiality is crucial to this position. Responsibilities include performing highly diverse and complex administrative functions, including but not limited to initiative-taking calendar management, travel arrangements, preparing expense reports, supporting recruiting activities, onboarding and offboarding, Bravo, etc. Responsible for the organization and planning of meetings. Resource for Workday, IT, budget, and expense questions. Anticipates needs of managers and takes appropriate steps to produce desired outcome with minimal assistance from supervisor. Ensures manager's preparedness for meetings e.g., assemble meeting materials, assist with PowerPoint presentations & pre-reads. Prioritizes activities and acts based on an understanding of department objectives, and business needs. Anticipates key issues and implements action plans based on changing priorities and commitments. Be able and willing to adapt to constant changes and can quickly course correct when necessary. Demonstrates strong decision-making capability to guide assigned projects to successful conclusions and meet deadlines. Maintains professional and technical knowledge by remaining current with BMS continuous learning modules. Learn new systems to support teams, including submissions and maintenance for Share point, Microsoft Teams, etc. Supports MAx Commercialization overall team culture. Exhibits a positive work attitude, high productivity and a collaborative approach with other administrative assistants and partners across organizational levels and functions. Qualifications include at least 8 years of administrative experience with considerable experience supporting an executive and large team. Strong people skills in dealing with all levels of management internally and externally. Effective communication skills include excellent verbal and written skills. Proven ability to oversee sensitive information or situations with confidentiality, discretion, diplomacy, and good judgment. Demonstrated ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment and provide high quality work with attention to detail. In depth knowledge of company internal systems, policies, and procedures. Must be proficient in Microsoft Office, Outlook, Concur, SAP, purchasing systems and Workday. Compensation overview: Princeton - NJ - US: $74,630 - $90,434. The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee's work schedule, job-related knowledge, and experience.
