Administrative Assistant Property Tax Team (Temp-to-Hire)

LHH is partnering with a professional services organization to identify a highly organized and detail-oriented Administrative Assistant to support the Property Tax team. This role is ideal for an experienced administrative professional who thrives in a fast-paced, deadline-driven environment and is comfortable handling high volumes of confidential documentation, coordination, and client-facing support. Key Responsibilities

Support the Property Tax team and Client Acceptance processes, including preparing and issuing standard engagement letters once appropriate training is completed. Assist with project setup activities, including preparing and submitting information needed for client, contract, and project code creation once access and training are completed. Support the STS inbox and provide general administrative coordination, helping absorb recurring administrative volume regardless of staffing changes or busy season pressures. Intake requests and route to the appropriate teams for execution, including expense reporting and CRM input or modifications. Participate in centralized STS administrative processes to provide consistent support coverage during peak periods, mitigating workload bottlenecks caused by limited staffing, PTO, or temporary absences. Coordinate with the Tax Administration Manager and existing Property Tax administrative staff on task prioritization to ensure work is completed efficiently and escalations are minimized. Collect Property Tax department mail daily; organize, date-stamp, scan, rename, and file documents by client, year, city, state, and mail type. Distribute scanned mail to team mailboxes and send daily summary emails to the team outlining mail received for pickup. Prepare and send "No Longer Client / Removal of Agent" letters. Create certified mail receipts, UPS tracking labels, and Certificates of Mailing (COMs) for documentation and tracking. Order food for the Property Tax team during busy season and for special occasions. Book hoteling arrangements as requested for the Property Tax department. Contact county assessors to obtain client account information. Collect and document notices from county portals. Draft, review, and send final client MSAs and SOWs via DocuSign for the Houston Property Tax team. Create and maintain a Master Engagement Document Workbook and ensure all documentation is properly saved and retained. Process expense reports for Property Tax Managers. Coordinate with the Processing team to collect returns, complete final administrative review, and prepare returns for mailing during filing deadlines. Collate, pack, and mail returns; track stamped COMs upon return. Obtain a Texas Notary to notarize a high volume of returns. Send returns manually and through PTMS using the AnyBill mailing platform and track delivery. Basic Qualifications

Education: High School Diploma, GED, or equivalent required. Bachelor's degree preferred. Experience: Three (3) or more years of administrative experience required. Experience in a professional services firm preferred. Software & Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Adobe) required. Experience with Oracle preferred. Knowledge, Skills & Abilities: Ability to work in a deadline-driven environment while managing multiple projects and tasks with strong attention to detail. Advanced computer skills with the ability to quickly learn new systems. Excellent written and verbal communication skills, including strong grammar, spelling, and punctuation. Strong customer service skills with professionalism, diplomacy, and sound independent judgment. Process-improvement mindset with a desire to increase efficiency. Highly organized and detail-oriented with effective multitasking abilities. Ability to manage highly confidential information with discretion. Ability to work effectively with all levels of management and external clients. Team-oriented, flexible, and willing to assist where needed. Pay Details: $28.00 to $33.65 per hour.
