Location: Stonebridge Ranch Community, McKinney, TX Position Type: Full-Time (Onsite) Salary Range: $90,000- $110,000 annually (DOE) Department/Job Category: ELVONS Reports To: Executive Director The Community Association Manager provides operational, administrative, and analytical support to the General Manager. This position encompasses governance, operations, financial processes, compliance schedules, vendor coordination, association technology systems, and homeowner-facing functions. The role requires accuracy, confidentiality, strong communication, and high accountability. These community associations are of all sizes, from small communities to large, master-planned communities. The Community Association Manager (CAM) serves as the primary operational lead under the Executive Director for a large-scale, high-visibility master-planned community. This role requires strong judgment, situational awareness, and the ability to manage multiple concurrent priorities in a fast-paced, Board-facing environment. The CAM directly supervises the Administration and Reception teams and is expected to lead with authority, provide clear direction, exercise independent judgment, and ensure consistent execution across front-office operations while protecting the Executive Director's time and bandwidth. Duties & Responsibilities Directly supervise the administration and reception teams, including task delegation, prioritization, and daily oversight. Set clear expectations, monitor performance, and hold staff accountable for timely and accurate execution of responsibilities. Provide direct, concise coaching and corrective guidance when standards are not met. Ensure front-office operations run smoothly without unnecessary escalation to the executive director. Establish and maintain professional boundaries while fostering a productive, respectful work environment. Ensure staff understand reporting lines, escalation protocols, and role responsibilities. Governance & Committee Support Prepare, format, and distribute Board packets, Budget & Finance Committee packets, and Neighborhood Delegate materials at least one week before meetings. Maintain and coordinate the annual master meeting calendar, including Board, committee, and Delegate schedules. Attend Board and Budget & Finance Committee meetings; prepare draft minutes within 4872 hours. Maintain official governance records (agendas, minutes, exhibits, charters, committee rosters). Support Delegate Meetings: agenda development, topic research, meeting facilitation support, attendance tracking, minutes, and action-item follow-up. Communicate regularly with department leads to ensure alignment with association procedures and directives. Anticipate Board and committee needs in advance of meetings, including logistics, materials, technology readiness, and follow-up items without requiring prompting. Ensure all meetings are fully prepared and operationally ready, including room setup, technology checks, materials, and flow of agenda items. Serve as a confident point of contact for Board and committee leadership, escalating issues only when appropriate. Financial Operations Process Accounts Payable for operating and reserve expenditures, including approval routing, GL coding, contract verification, and timely submission. Track reserve expenditures and maintain the monthly Reserve Project Tracking Schedule. Monitor daily cash balances for all association accounts and report irregularities. Maintain investment logs; ensure compliance with investment and reserve policies. Prepare and route reserve transfer documentation and support monthly reconciliation. Maintain and update the delinquency list. Support communication with owners, corporate collections, and external collection firm regarding balances and payment plans. Conduct financial analyses as assigned, including forecast support, project cost tracking, and variance reviews. Leadership, Judgment & Priority Management Operate as a leadership presence on-site, providing clear direction to staff and maintaining appropriate professional boundaries. Manage multiple priorities simultaneously, tracking all open items and deadlines to completion. Demonstrate sound judgment and decisiveness in daily operations without over-escalating to the Executive Director. Identify issues proactively and resolve them at the appropriate level Protect the Executive Director's time by absorbing operational demands and ensuring follow-through across departments. Serve as the final decision-maker for administrative and front-desk matters, escalating only when necessary. Anticipate staffing, workflow, and coverage needs to prevent operational gaps. Demonstrate confidence and authority when directing staff, especially in time-sensitive or high-pressure situations. Administration & Compliance Maintain schedules of insurance policies, renewal dates, and certificates of insurance. Track vendor contracts, expiration timelines, deliverables, and insurance requirements. Manage the Association's e-file system, including resolutions, legal documents, minutes, and disclosures. Update CiraNet (Owner Portal) with current documents, calendars, charters, and forms. Prepare Annual Budget Disclosure Package (formatting, proofing, distribution, and posting). Coordinate with auditors and accounting teams for annual audit and tax filings. Support Reserve Study preparation and coordinate with reserve specialists. Maintain all election-related documentation (candidate forms, ballots, required notices). Track accidents, incidents, and risk-related reports. Technology & Systems Use association and company platforms (CiraNet), Microsoft Office, and internal RealManage systems for all job duties. Ensure accuracy of owner accounts, vendor files, and reserve data. Assist staff and committees with access, system navigation, and document retrieval. Community Relations Maintain professional communication with homeowners, committees, vendors, City staff, and business partners. Represent the Association with professionalism and diplomacy in meetings and community settings. Communicate with confidence, clarity, and professionalism in all interactions with homeowners, committees, vendors, City staff, and business partners. Represent the Association and management with authority and composure in Board meetings and public-facing settings. Adapt communication style appropriately for Board, committee, staff, and homeowner audiences. Other Duties Perform additional tasks, project assignments, and operational support as directed by the Executive Director, General Manager and/or Board.
