Description
Reporting to the Assoc. Director of Advancement Services & Gift Administration, the Constituent Records Specialist (CRS) works closely with the staff from the various IA offices serving as the primary constituent data entry / integrity, and reporting liaison to the division. Broadly, the incumbent in this position is responsible for the creation of new individual and organizational records along with the update and maintenance of well over 55,000 records within the Blackbaud Raiser's Edge software system. The CRS also serves as the primary backup for the gift administrative functions handled by the Associate Director of Advancement Services.
Actual salaries will vary depending on multiple factors, including but not limited to degrees attained, experience, and other considerations permitted by law. Comprehensive compensation details, including any additional benefits, will be communicated upon finalization of the employment offer. Responsibilities
1. Updating of Constituent Biographical Data - Responsible for the accurate and timely updating of non-financial constituent information. This information covers a number of broad areas that include: - Name Management - Constituent Type Indicators - Profession Indicators - Mail Management - Non-Constituent Spouse Information - Attribute Management - Relationship Management Accuracy within this area is critical to the entire division since data collected and accurately recorded is the basis for all solicitations, gift acknowledgement and the dissemination of event information through hard copy and/or electronic means. Responsible for the regular running of data audit queries to ensure data accuracy and integrity across the database.
2. Production of RE based Reporting - As liaison to the offices of Development and Alumni Relations for RE-based reporting this position is accountable for the timely production of standardized alumni/donor gift and biographical reports, labels and data files. Specific responsibilities include but are not limited to the production of the following: • Phonathon Forms • Solicitation Tracking Updates • Class Reports • Reunion Reports • Attribute Reports • Event Reports • Geographic Reports • FY to Date Cash Reports • NotePad Reports • Moves Management Reports • Biweekly Giving Reports • Trustee Giving Reports • Mass-Mailings
3. Gift Entry / Processing - Responsible for the accurate gift/pledge entry and processing of charitable gifts (on a frequent basis) received in the following forms: • Cash • Check • Stock Transfer • Payroll Deduction • Electronic Fund Transfer (ETF) • Credit Card Charges • Gifts-in-Kind • Outright pledge • Deferred Pledge Qualifications
- High School Diploma
Required - Associate's or Vocational/Technical Degree
Preferred - At least 1-3 years of work-related experience
Required Knowledge, Skills & Abilities
Skill: Strong knowledge and working skills in office administration, and/or customer service. Working proficiency in Microsoft Office (specifically Word and Excel) and working knowledge of databases helpful. Experience in fund raising and or non profits helpful. Excellent organizational, communication and interpersonal skills. Sensitivity to issues of privacy. Overall computer efficiency. Ability to handle multiple projects.
