Overview The
IT Asset Specialist
is responsible for managing the full lifecycle of the organization’s IT assets, including hardware, software, and cloud-based resources. This role ensures accurate asset tracking, license compliance, and alignment with financial, security, and operational requirements. The IT Asset Specialist partners with IT, procurement, finance, and compliance teams to optimize asset utilization and control costs. Responsibilities include maintaining asset inventories, overseeing software license management, supporting audits, and managing asset renewal, refresh, and disposal processes. The role also evaluates vendor relationships and contributes to contract and purchase decisions. Through data analysis and reporting, the IT Asset Specialist identifies cost‑saving opportunities and mitigates risk. This position plays a critical role in ensuring governance, compliance, and operational efficiency across the technology environment.
Responsibilities
Manage the full lifecycle of IT assets, including procurement, deployment, transfers, upgrades, and disposals
Maintain an accurate inventory of all hardware, software, cloud services, and licenses
Ensure compliance with software licensing agreements and vendor contracts
Support IT audits, internal controls, and risk management initiatives
Partner with IT teams to standardize asset management processes and documentation
Monitor asset utilization and recommend cost‑saving or optimization opportunities
Record IT assets in accordance with accounting standards, including depreciation and amortization
Reconcile IT asset records with the general ledger and support financial closing activities
Prepare asset‑related financial reports and variance analyses
Assist in budgeting, forecasting, and cost allocation for IT assets
Coordinate with Procurement on IT purchases and renewals
Validate invoices, purchase orders, and asset receipt documentation
Track vendor contracts, renewals, and maintenance agreements
Support negotiations with vendors by providing asset and cost data
Requirements
Bachelor’s degree in Accounting, Finance, Information Technology, MIS, or related field
3–5 years of experience in IT Asset Management, Accounting, or IT Financial Operations
Demonstrated experience managing IT assets with financial accountability
Strong understanding of IT infrastructure (hardware, software, SaaS, cloud environments)
Knowledge of accounting principles related to fixed assets and depreciation
Experience with ITAM tools (e.g., ServiceNow, Flexera, Snow, or similar)
Proficiency with ERP and financial systems (e.g., SAP, Oracle, NetSuite)
Advanced Excel skills for reconciliations and analysis
Strong attention to detail and data accuracy
Analytical mindset with the ability to connect IT data to financial outcomes
Excellent communication skills for collaboration with IT, Finance, and Procurement
Ability to manage multiple priorities in a fast‑paced environment
High level of integrity and accountability
