The Opportunity We’re hiring a Leasing Coordinator / Agent to support the full leasing and renewal lifecycle across assigned NYC residential properties. This role is ideal for someone who is highly organized, detail‑oriented, process‑driven, responsive, and comfortable balancing both field coverage (tours/showings) and administrative execution (marketing, applications, files, renewals, CRM systems). Primarily office‑based in slower months; increased field/tour coverage during peak leasing season (typically spring/summer), as needed.
Responsibilities 1) Leasing Pipeline & Lead Management
Respond to inbound leasing inquiries (phone/email/web portals/listing sites) within required response standards and with a consistent, professional tone.
Manage the lead‑to‑lease pipeline: schedule and confirm tours/open houses, coordinate access, provide in‑person tours, and maintain accurate lead notes and status updates.
Provide clear guidance to prospects and brokers on application requirements, qualification steps, and expected timelines; set clear expectations on requirements to reduce fall‑off.
Maintain follow‑up cadence with prospects/applicants to drive conversion and prevent missed opportunities; elevate time‑sensitive leads as needed.
2) Applications, Documentation & Lease Execution Support
Collect, review for completeness, and organize application packages and supporting documentation; promptly identify missing/unclear items.
Initiate and track screening steps in company systems; coordinate with screening providers and internal teams as required.
Prepare lease documents/amendments for execution; ensure accuracy of names, terms, dates, and required addenda.
Track signatures, payments, move‑in requirements, and deadlines; maintain organized, audit‑ready digital files.
Protect confidential information and handle sensitive documents with discretion.
Support the renewal process for assigned properties (market and regulated units where applicable): prepare notices/offers, track responses, and coordinate documentation for execution.
Maintain renewal trackers to ensure no missed expirations due to administrative error; elevate risk items early (e.g., no‑response, affordability, compliance).
Support lease changes and occupancy updates (extensions, transfers, sublets, household/occupant changes) in alignment with company policy and approval requirements.
4) Marketing & Listings Support
Maintain accurate unit availability and listing information; coordinate photos, floorplans, and marketing assets as needed.
Create and update listings across approved platforms and internal channels; ensure consistency across sources.
Support social media and marketing promotion of availability in coordination with Dalan brand standards and approvals.
5) Resident Communication & Cross‑Functional Coordination
Communicate professionally with residents and prospects; triage and route issues to the correct team (Leasing vs. Property Management vs. Asset Management) per established protocols.
Coordinate move‑in/move‑out logistics and ensure required documents/funds are collected (e.g., insurance, guarantees, required payments) where applicable.
Partner with Leasing Agents, Property Management, and leadership to ensure accurate information flow and smooth handoffs.
6) Reporting, Systems & Compliance
Track and compile weekly pipeline activity (leads, tours, applications, conversions, and retention) and submit reporting on schedule.
Maintain clean, accurate data entry in Yardi and RentCafe systems; ensure files and notes are complete and audit‑ready.
Comply with Fair Housing and applicable NYC/NY State requirements; follow company policies, escalation protocols, and compliance standards.
Additional Expectations
This role will provide coverage as leasing agent and administrative support based on manager direction.
Other duties may be assigned to support business needs and operational continuity.
Success Factors (How Performance Is Measured)
Response time and quality of communication to leads, applicants, and residents.
Tour scheduling efficiency and no‑show reduction.
Application completeness rate and speed to screening/approval/closing.
Accuracy of lease files, data entry, and handoffs with minimal rework.
Compliance adherence and consistent use of approved processes.
Working Conditions
Primarily office‑based in slower months; increased field/tour coverage during peak leasing season (typically spring/summer), as needed.
Frequent computer and phone use; must be able to sit/stand for extended periods and walk/climb properties during tours or coverage.
Qualifications
NY State Real Estate Salesperson License (required unless otherwise stated)
1+ years in NYC leasing, renewals operations, or property management support preferred
Strong communication and customer service mindset
High‑level organization, attention to detail, and ability to manage multiple deadlines
Comfortable learning and using CRM/leasing/property management platforms (Yardi/RentCafe a plus but not required)
Ability to work onsite and travel between properties as needed
Schedule flexibility, including weekends (required) and occasional evenings based on leasing activity.
Compensation Base Salary + commission per executed lease + bonus eligibility + full‑time health and dental benefits (details shared during the interview process).
