Position Summary The Energy Services Intake Specialist is responsible for providing support to the Central Intake team and all Energy Services programs on all aspects of intake duties. The ESD Intake Specialist identifies key eligibility requirements, enters, and monitors proper data systems, and prioritizes tasks per program guidelines and regulations. Entering intake information in multiple systems for eligibility. The Intake specialist will enroll qualified clients in all ESD Programs and partakes in call center, communicates status and details of program functions to the applicant. Will be accountable for the assistance in completion of ESD Services applications, from providing the application to the client to the appropriate approval stages, to submitting it to the appropriate program team member.
The rate of pay for this position is $21.63 per hour; $45,000 per year. (Hourly, FLSA Non‑Exempt)
Essential Duties and Responsibilities
Greet new and existing customers over the phone, answering general questions and navigating customer concerns.
Participate in lobby window for Energy Services Department; documenting all relevant information that is discussed with client at window visit.
Assist with the review of applications for approval and data entry.
Submission of apps to appropriate ESD Program (Funding Sources) and associated databases.
Use data programs to identify and update required applicant information.
Participate in file management, pre/post job finalization as needed.
Participate in program meetings to stay up to date on program requirements.
Document all relevant information when interacting with clients, including required, regular communications, in the CRM database (Salesforce).
Communicate regularly with ESD services team, sharing client information as needed and participating in regular meetings
Guarantees precision in data entry, ensuring information is captured correctly and efficiently
Executes Quality Assurance tasks as designated, ensuring the highest standards of quality and compliance
Work with all intake specialists on ESD program requirements and procedures
Acquire continued education when needed.
Communicate regularly with all ESD Program Managers
Other duties as assigned.
Education and/or Work Experience Requirements Education
High school diploma
Experience
2 years of experience in customer service
Skills
Extremely detail oriented
Fast and accurate data entry skills
Excellent time management skills
Good written and verbal communication skills
Good working knowledge of MS Office, with ability to learn new software
Ability to problem solve invoice discrepancies & bring to resolution.
Teamwork oriented
Microsoft word, 365, excel
Customer service – phone etiquette, timely response, follow up, mailings, documentation
Outlook and/or Google Calendar – scheduling
Organization skills – file review, inventory, tracking of job/invoice/client

Prior work in weatherization program
