Community Engagement Coordinator

The Community Engagement Coordinator is responsible for supporting the department's administrative and programmatic logistics and activities during a period of high activity. This role provides essential coordination for in-person programs and community-facing initiatives, including event support, scheduling, communications, and documentation. The Coordinator works closely with internal teams, artists, community partners, and the public to ensure smooth program operations and meaningful engagement experiences. Responsibilities

Serve as the Community Engagement department administrator. Monitor department email. Attend scheduled meetings with partners and artists to take notes. Ensure the institutional calendars are up-to-date with all program information. Manage the studio scheduling requests on behalf of the department. Act as the primary documenter for department meetings, programs, and forums as assigned. Assist with data entry, data hygiene, and upkeep in the organizational database (Tessitura) as assigned. Draft program copy, program reports, and proofread materials. Support receipt tracking, budget monitoring, and clerical duties with invoice tracking. Event Documentation. Draft and proofread program copy, internal documents, and reports. Event Support

Provide in-person support for Community Engagement programs on campus and throughout the region, including (but not limited to): Elementary school field trips; Public classes and workshops; Day at the Pillow visits; Community events and forums, and Festival programming. Events regularly occur on evenings and weekends. Responsibilities include preparing materials, setting up and breaking down spaces, registering participants, collecting payments, welcoming the public, supporting artists, and providing customer service. Support Curriculum in Motion (CIM) Institute modules as assigned. Support the College Partnership Program

Assist with outreach, membership renewals, and ongoing communications. Support onsite and virtual programming, including the annual College Partner Convening. Facilitate campus tours and greet guests for College Partner site visits. Coordinate with Archives staff for site visits as needed. Community Presence

Coordinate community tabling opportunities by identifying events, scheduling participation, and preparing materials. Attend community gatherings and meetings to build relationships and represent Jacob's Pillow within Berkshire County. Qualifications

Working Conditions/Physical Demands: Office setting: Remaining in a stationary position for extended periods, moving within the office space as necessary. Frequent interruptions. Working regularly outdoors in all weather conditions, including inclement weather. Working regularly in wooded areas with exposure to native wildlife, including, but not limited to, rodents, ticks, and mosquitos. Working regularly in community public spaces such as libraries, event venues, Farmers Markets, etc. Move objects across campus, with or without assistance, such as tables, chairs, and event supplies. Ability to work evenings and weekends. Preferred Qualifications: Minimum of one year of administrative work experience. Ability to listen deeply with sensitivity and respond to nuance and changing circumstances. Maintain the goal of growing confidence and trust between staff, artists, and the community with authentic, caring responses. Attitude of openness, generosity, creative solution-seeking, and joy. Ability to balance organization and flexibility. Ability to multi-task between multiple programs and projects simultaneously. Highly effective oral and written communication skills via email, phone calls, video conferencing, and in-person. Openness to engaging in class/workshop content and experiences. Ability to work independently and as part of a team. Proficiency with Google applications such as Gmail, Google Docs, and Google Sheets. Proficiency with Microsoft Office. Experience with customer relationship management software such as Tessitura preferred. Proficient in utilizing graphic design tools like Canva. Bilingual is a plus but not required.
