Community Events Coordinator
The Central Texas Food Bank (CTFB) is the largest hunger-relief organization in Central Texas and a proud member of the Feeding America network. Job Description: The Community Events Coordinator is responsible for developing, coordinating, implementing, and evaluating events, cause-related marketing initiatives, peer-to-peer online fundraising campaigns, and/or food/fund drives that support and advance the work of the Central Texas Food Bank. The role works closely with third party community partners to identify event and campaign requirements and coordinates the Food Bank's support, including logistical needs, marketing materials, strategy, benchmarking, relationship management, and internal collaboration. Additionally, the position provides administrative support for events, including scheduling, data entry, donor and gift acknowledgment, supply inventory, and fielding public requests for tours and speaking engagements, serving as an external representative of the Food Bank at community events. Relationships: This position reports to the Community Engagement Manager and works closely with a second Community Engagement Coordinator. Internally, the position interacts frequently with other members of the Resource Development and Communications teams and maintains strong working relationships with the Logistics department. Externally, the position cultivates and stewards relationships with a large variety of event, food and fund drive and cause marketing partners as well as other Food Bank supporters. Position Overview and Responsibilities Coordinates a high volume of fundraising partnerships that may include events, cause-related marketing campaigns, peer-to-peer/crowdfunding campaigns, food/fund drives, working with a wide range of community partners. Participates in discovery and qualification calls with new partners and cultivates existing events and partnerships to maximize impact. Plans and executes small- and medium-tier fundraising and engagement events and partnerships. Monitors Community Engagement email and hotline, responding promptly and courteously to inquiries via email, phone, voice mail, and walk-ins; reviews registration forms for accuracy. Enters and maintains event, donor, financial, and in-kind donation information in databases; analyzes data and creates reports; provides donor stewardship for monetary and in-kind contributions. Maintains inventory of event supplies and ensures proper ordering and stocking. Schedules requests as needed with the Transportation/Operations team for events, including food drive drop-offs, pickups, and special event logistics. Coordinates and assists with facility tours and presentations for donors, prospects, and community groups. Provides support to other Community Engagement team members for mid- and top-tier events and other assigned duties. Assists in report preparation, data gathering, and achieving goals, metrics, and deadlines. Performs additional duties as necessary and/or requested. Your Qualifications: High school diploma or equivalent required. At least one year of experience working in an events, fundraising, customer service, communications, marketing, logistics, project management or related role. Event planning experience is highly preferred. A desire to be a connector for the generous individuals, groups, companies and organizations involved with the Food Bank's mission. Attentiveness to community partners' interests and motivations as well as the ability to diplomatically communicate the Food Bank's requirements and needs so that events and partnerships can be as impactful as possible. Motivation to see a high return on investment in everything you do professionally, from the organization you work for to the way you plan your day. One year of experience using scheduling, logistics, sales, relationship management, peer-to-peer, or fundraising software. Outstanding written, oral, and interpersonal communication skills including email writing and phone manner. Ability to organize and manage multiple projects, setting priorities and working independently under aggressive timelines. Creative problem solving skills and ability to learn quickly and adapt to shifting constraints and requirements. Good judgment and discretion, strong ethical character, ability to preserve donor confidentiality. Proficiency in Microsoft Office suite including strong skills in Microsoft Word and Excel. Ability to work independently and cooperatively with other Food Bank staff and external stakeholders representing a wide variety of backgrounds, experiences and communication styles, representing the Food Bank in a professional manner under a variety of conditions. Ability to provide excellent customer service to Community Event partners, manage expectations and foster mutually beneficial partnerships. Belief in CTFB's mission, vision, values and culture.
