
Sales Assistant - Aviation & Event Logistics

$60,000.00 / yr – $70,000.00 / yr
Position Overview The
Sales Administrator
will play a key support role for two Sales Directors based in
California and London , helping drive success across
private aviation, group charter, and large‑scale event travel operations . This position is
not a sales role , but rather a critical operational and administrative support role ensuring the smooth delivery of charter programs and backend logistics.
Key Responsibilities
Support two Sales Directors with
daily administrative and client‑related tasks
Coordinate
travel logistics
across commercial and private aviation for clients and internal teams
Build and deliver
detailed flight briefs, itineraries, and client‑facing documents
Create and manage
passenger manifests
and documentation for flight operations
Act as a key point of coordination across
multiple time zones
(e.g., London, Los Angeles)
Help manage timelines, deliverables, and last‑minute changes for ongoing travel projects
Oversee a team of flight representatives , ensuring logistics run smoothly on the ground
Arrange
transportation, hotels, and ground handling services
as required
Procure and build
custom flight quotes
Reconcile
flight‑related costs and expenses
and assist with invoice processing
Maintain and update
CRM systems , reports, and sales performance dashboards
Prepare internal documentation, reports, and presentations for leadership
Manage communication between
sales, operations, and client service teams
Handover completed flight programs to the
in‑house operations team
Proactively flag and troubleshoot issues before they impact program execution
Qualifications
3–5 years
of experience in travel coordination, aviation operations, event logistics, executive support, or similar fast‑paced environments
Proven ability to
organize complex travel
and logistics under pressure
Experience supporting
international teams
and managing across multiple time zones
High degree of
professional maturity, discretion, and autonomy
Excellent attention to detail and ability to
juggle multiple priorities
in real time
Comfortable working with
tight deadlines and evolving travel itineraries
Experience working on or supporting
large‑scale events or charter programs
(strongly preferred)
Proficient in
Microsoft Office (Word, Excel, PowerPoint)
and CRM systems
Based in or open to
occasional travel to Miami, FL
(preferred but not required)
