A nationally respected law firm is seeking an experienced Intellectual Property Legal Assistant to support its Chicago-based IP practice. This role supports attorneys and paralegals in a fast-paced environment focused on patent and trademark prosecution.

This is an excellent opportunity for someone with strong IP experience who thrives in a detail-oriented, deadline-driven setting and enjoys managing high-volume workflows.

Work Structure

Primarily onsite in the Chicago office

Eligible to work from home one day per week after the first 90 days, based on team needs and manager approval

Key Responsibilities

Prepare, review, and process patent and trademark filings, applications, and renewals

Support patent and trademark prosecution workflows, including U.S. and foreign filings

Draft and proofread correspondence, transmittals, and related documentation

Monitor and manage docketing deadlines, ensuring timely filings and follow-up

Communicate with clients, outside counsel, and the U.S. Patent and Trademark Office

Maintain organized electronic and physical files in accordance with internal procedures

Track and process incoming and outgoing correspondence Assist with billing entries, time tracking, and invoice review as needed

Collaborate with attorneys and team members to ensure smooth workflow and timely completion of tasks

Qualifications

3+ years of experience supporting intellectual property, specifically patent and trademark prosecution

Strong knowledge of USPTO procedures, terminology, and deadlines

Experience with IP docketing systems and workflow management

Excellent organizational skills with the ability to manage multiple priorities and deadlines

Strong attention to detail and accuracy

Excellent written and verbal communication skills

Proficiency with Microsoft Office, including Word, Outlook, and Excel

Ability to work collaboratively while maintaining ownership of responsibilities

Salary range: $75,000 – $97,000, depending on experience
