The operations side of this business is what makes everything else possible, and we need someone who takes that seriously.
THE ROLE: DIRECTOR OF OPERATIONS The Director of Operations owns the full operational engine of ELIFIN. That means the back office, transaction management, property marketing, office administration, incoming leads, agent support, platform management, and the team of people responsible for all of it.
This is not a distance-leadership role. You're in it. You're accountable for outcomes, not just oversight. You set the standard. You run the systems we have and build new systems to take us to the next level. You make sure nothing falls through the cracks, and when something does, you own it and fix it.
You'll lead a team of support staff and you'll be the person who makes sure our agents have everything they need to perform, our offices are client-ready, our processes are airtight, and our deadlines are always met.
RESPONSIBILITIES 1. Team Leadership & Accountability
Lead, manage, and coach the operations team — setting a high daily standard and holding the team to it
Run structured performance rhythms: regular check-ins, clear expectations, and firm follow-through
Develop team members, identify gaps, and build a culture of precision and ownership
Oversee onboarding new agents into the company's systems and processes
Hire and build the ops team as the company grows
2. Transaction Management & Commission Oversight
Oversee the full transaction management process from listing agreement to closed deal
Ensure all stages of a deal are processed accurately and on time
Manage incoming commission payments and outgoing agent commission payouts
Maintain pipeline accuracy and reporting in Salesforce
Coordinate with title companies, agents, and internal staff to keep deals moving
3. Property Marketing & Proposal Production
Oversee the production of all property marketing: photos, brochures, packages, and digital materials
Manage proposal generation and ensure quality and deadlines are consistently met
Coordinate with the marketing team to maintain ELIFIN's standard of presentation across all properties and materials
Oversee all property signage across our listings
4. Office Administration & Agent Support
Keep all ELIFIN offices client-ready, well-equipped, and running smoothly
Ensure agents have what they need to do their jobs at the highest level
Manage platform accounts, system access, and tools across the company
5. Incoming Lead Management
Oversee the management of incoming calls and leads
Identify and eliminate bottlenecks in the lead-to-agent handoff process
Ensure that all leads get proper followup
6. Systems, Process & Automation
Build and improve operational systems that are efficient, repeatable, and scalable
Leverage technology and automation to eliminate manual work and reduce error
Maintain and enforce process discipline across all operational functions
Ensure Salesforce and other platforms are used with accuracy and consistency
WHAT SUCCESS LOOKS LIKE
No balls dropped, deals move, deadlines are hit, and the team runs without constant supervision
Marketing materials are consistently on time and on standard
Agents have everything they need to produce without operational friction
Offices are always client-ready
Commission payments, in and out, are accurate and on schedule
Systems improve over time — things get more efficient, not more chaotic
Your team is growing, performing, and holding a high standard
QUALIFICATIONS Required
4+ years of experience managing a team directly, with a track record of building accountability
Background in operations, ideally inside a fast-paced, high-growth company
Experience building or improving business processes, not just running them
Extremely tech-forward — you learn new tools fast and you're not afraid of them
Deadline-driven and precise — you track what's due and you don't miss
Willing to do whatever it takes, regardless of whether it "fits your title"
High personal standard and the ability to hold others to one without burning them out
Familiarity and experience with AI tools
Preferred
Experience designing repeatable systems and automating manual workflows
Salesforce experience
Real estate or brokerage experience
COMPENSATION Base Salary: $80,000 – $105,000 (commensurate with experience)
