Assistant to the Athletic Director
The Brandywine Heights Area School District is seeking a dynamic and customer service-oriented Assistant to the Athletic Director to support efficient operation of the athletic office and serve as confidential assistant to the Athletic Director. Duties include routine administrative support functions as well as daily interaction with students, families, and staff. Qualifications: High school diploma, post secondary training preferred. Minimum of two years general office experience preferred, including information processing, file management, advance planning, scheduling, and use of office equipment. Demonstrated competence in the use of a computer for information processing, spreadsheet, database, publishing applications, email, mass mailings and management of common files on the server. Demonstrated competence in composition and editing skills including: spelling, grammar, and punctuation. Demonstrated competence in time management and organization of multiple tasks. Poise and confidence in initiating public contacts. Professionalism, reliability and confidentiality in handling district, student, staff and public information and materials. Professional temperament and tact in contacts made with students, staff and public. Essential Functions: Administration: Collaborates and assists the Athletic Director with all matters involving interscholastic athletics. Assists and provides coverage of all home sporting events when needed in the evenings and weekends. Provides coverage of scrimmages and/or contests as Game Manager as assigned by Athletic Director in the evenings and weekends. Assists and provides post-season game coverage for the District III and PIAA playoffs, when needed. Assists during the pre-participation physical examinations of all athletes. Organizes and provides oversight of the athlete registration process for each athletic season. Assists the Athletic Director at all pre-season coach meetings that are held in the evenings. Collects and organizes student activity fees for the entire school district. Assists the Athletic Director with communication to community groups and youth organizations in respect to facility usage. Processes and approves facility requests. Processes facility requests that need to be billed to users and reconciles payments. Processes and maintains confidential medical records for all student-athletes. Creates and maintains accurate team rosters for all sports. Determines and reports the academic eligibility of current athletes to the Athletic Director, coaching staff and Pennsylvania Interscholastic Athletic Association (PIAA). Arranges early dismissal times for athletes involved in away contests. Athletes will be excused early only when absolutely necessary. Arranges transportation to and from all athletic events for all student-athletes. Also makes separate transportation arrangements for vocational-technical students and other school functions. Assists with the planning of awards reception and banquets. Prepares all awards, certificates, plaques, etc. for distribution. Prepares and distributes sport season passes for fall, winter, and spring sports and sends the money to the business office for deposit. Assists with the recording of athletic records at each season's end. Assists with the recording of proofreading of yearly sports schedules. Reserves hotel rooms and charter buses as needed for post season events. Maintains historical data for the athletic department (student participation rosters, athletic awards, team records). Updates the athletic bulletin boards, schedule star, and media as needed due to event postponements, cancellations, or changes. Records scores of contests and puts them on necessary media platforms. Mails information to parents, coaches, and residents as requested by the Athletic Director. Must be willing to work evenings and weekends managing sporting events. Collaborates with the Athletic Director in the creation of office systems and structures to improve department efficiency. Communications: Acts as a liaison between the coaching staff and the Athletic Director. Reports any problems concerning athletics to the Athletic Director. Welcomes officials and distributes paychecks (as needed by the Athletic Director). Acts as the school's host to all visiting teams during home events. Greets and assists photographers during all sport picture sessions. Uses school public address system to make athletic announcements. Checks on absences of middle school and high school athletes each day. Contacts both Berks County Vocational schools to check academic eligibility of our vocational-technical students. Acts as liaison between the athletic department and the Booster Club for their Sports Ad Booklets. Finance: Assists with the creation and mailing of bids and quotes. Enters and reconciles purchase orders for new supplies. Assists with checking in and distributing new supplies as they arrive. Issues checks for various department expenditures (i.e., officials' fees, event workers, meal money). Submits collected gate receipts to the business office for deposit. Reconciles transportation bills for sporting events. Reconciles gate receipts and deposits for BCIAA/PIAA home contests. Work Schedule: Full Time, 12-Month Supervisory/Confidential position, 8 hrs/day. Flexible work schedule, with hours coordinated with the Athletic Director. Occasional afternoon and evening availability is required based on the athletic season and office needs. Salary Range: Commensurate with experience, plus a comprehensive benefits package.
