
Spirits Portfolio Coordinator- Chicago, IL

Responsibilities
Support Spirits Leadership team in managing shared schedules and planning meetings with internal partners and suppliers.
Organize and manage shared drives, trade tools, OneDrive and intranet platforms – streamline current support materials, identify and acquire images, assets, POS and sell sheets, and work with creative services to develop national assets for priority suppliers.
Coordinate national Spirit team launches including internal meetings, supplier presentations, educational meetings, marketing campaigns, asset gathering and deadlines.
Act as the national liaison to the eCommerce team, taking lead on managing supplier assets, integration, performance and reporting for active storefronts, Winebow social media, Winebow Spirits website landing page, trade tools and upcoming PIM projects.
Act as the project lead for national accounts and chains, providing assets, presentations, pricing, programming, communication and support.
Manage updating and editing the Spirits portfolio overview and full book for each region; build and maintain portfolio files for new suppliers and new items.
Work in concert with Spirits RDs to communicate portfolio priorities, initiatives, sales/revenue updates, industry news, trends and general inquiries from Sales Leadership to broad and chain sales leaders down to the sales team.
Enter national incentives, Spirits Specialist and Director incentives into the portal; monitor, update, recap and track programs monthly.
Communicate national goals to the Analytics team; support communication of goals with suppliers, sales leadership and the spirits team to assure alignment.
Act as National Supplier liaison with top partners on monthly meetings: create the meeting deck and agenda and align priorities, progress, AR, AP, inventory and supply chain.
Coordinate and update new partner/PEC presentations, tracking progress and messaging.
Support market analysis projects nationally for the Spirits team, with material regarding spirits trends and gaps within portfolios to target new partners and partner expansion.
Develop and maintain extensive understanding of all products, services, systems and processes to handle a variety of questions from all departments.
Assist nationally with discontinued suppliers, coordinating messaging, accounts receivable and inventory clean‑up.
Organize correct item labeling, product categories, and vendor setup information to be uniform nationally across the ERP systems.
Generate reports as needed, including expense reports.
Arrive to work, appointments, meetings and other work‑related functions on time and as needed.
Qualifications
Minimum of 2‑3 years administrative experience.
Previous experience in portfolio management, project management or sales.
Effective communication and organizational skills.
Proficient technical and analytics skills.
Strong multitasking, time‑management and self‑motivation.
Knowledge of Microsoft Office Suite, OneDrive and virtual conferencing.
Bachelor’s degree (B.A.) from a four‑year college or university; one or two years of related experience and/or training or an equivalent combination of education and experience.
Working Conditions
Normal office environment. Physical and virtual office/Hybrid schedule.
