Overview

The Institutional Advancement team seeks an Associate Director Advancement Data Services & Training to join their team. The Associate Director plays a critical role in Data Management to ensure accurate information is available to all partners, and serves as the Training lead for the Institutional Advancement Division.

Primary Responsibilities

Data Services and Records Processing

Oversees workflows, processes and standards affecting biographical areas of the constituent records.

Oversees a Data Calendar that tracks all datapoints in Slate and monitors them for scheduled updates.

Monitors constituent records for accuracy and assigns/conducts updates as necessary.

Generates data audits to identify data not held to standard.

Updates records and reviews related portions of the record to determine if further changes are needed.

Proactively search for new biographical data using various sources and inquiries.

Collaborate with division and campus partners to monitor, collect and update involvement data (e.g., student activities, college-related activities, board participation).

Create records in the database for new constituents and organizations; create links as needed.

Oversee the duplicate record process and execute corrections as needed.

Proficient in general query creation and updates in Slate.

Provide user feedback for IT collaboration on data automation projects, including integrations with Banner for constituent records.

Training

Develop a schedule to onboard all new Slate users for efficient CRM use. Develop training resources and update as necessary.

Communicate training needs and online resources to Subject Matter Experts supporting training.

Create training strategies and initiatives by evaluating current staff knowledge and use of the CRM to identify additional support.

Participate in updating and organizing advancement technologies to include training resources on use and processes.

Gift Processing

Serve as back-up to the Assistant Director of Gift Services for gift and pledge processing (all types) with primary support during absences or high-volume periods; periodic entry required for knowledge retention.

Project Management

Responsible for recruitment, hiring, training, management, and review of student employees within the Data Services area.

Minimum Qualifications & Education

Bachelor's degree from an accredited college or university.

Minimum of 2 years of experience in a related field.

Preferred Qualifications

Work experience in higher education and/or a non-profit organization.

Experience with CRM Slate Advancement.

Knowledge, Skills, and Abilities

Proficiency in Microsoft Office and familiarity with a relationship CRM or similar information system.

Ability to handle confidential information, maintain and update files with high accuracy and sensitivity.

Strong organizational and analytical skills; detail-oriented; ability to set priorities and manage time in a deadline-driven environment.

Strong interpersonal skills; ability to work well with donors, prospects, executives, faculty, administrators, staff, and students.

Work Environment Campus-based, front-facing customer service position in an office environment. Regular use of a computer and databases. Must be able to work flexible hours, including evenings and weekends, based on business needs.
