Responsibilities The Meetings and Communications Specialist provides essential administrative, logistical, and communications support for the Governor’s Workforce Development Board (GWDB), Interagency Workforce Alignment (IWA), and the Office of Public Service (OPS). This position:

Coordinates meeting and event scheduling, supports in-person and virtual meeting operations, and prepares and distributes accessible meeting materials.

Manages official rosters and communications and ensures compliance with Minnesota’s Open Meeting Law and accessibility standards.

Works closely with internal DEED partners, external stakeholders, board and committee members, and the public to support smooth, professional, and timely execution of meetings and daily operations.

Demonstrates strong organizational skills, attention to detail, confidentiality, and the ability to support leadership and manage multiple priorities in a fast-paced environment.

Skill in database management to develop and maintain databases and calendars for staff.

Knowledge of communications to follow detailed instructions and explain complex processes to customers.

Knowledge of communications to share information with stakeholders and colleagues.

Skill in word processing (e.g., Microsoft Word) to type and format letters, memos, reports, and meeting minutes.

Skill in data entry to maintain accurate records and reports.

Skill in using spreadsheet applications (e.g., Microsoft Excel or Google Sheets) to enter, compile, store, and retrieve data.

Preferred Qualifications

Experience coordinating meetings or events, including logistics, room setup, AV/virtual platform support, or material preparation.

Experience preparing documents that meet accessibility standards (e.g., WCAG or Minnesota Accessibility Standards).

Experience working in environments with Open Meeting Law posting and documentation requirements.

Experience managing shared calendars and board/committee rosters in government, nonprofit, or complex stakeholder environments.

Experience collaborating with diverse internal and external partners (state agencies, elected officials, community organizations, employers, Tribal Nations, public stakeholders).

Experience troubleshooting technical issues related to virtual meetings, AV equipment, or livestream support.

Commitment to cultural responsiveness and working effectively with people from diverse backgrounds.
