This position reports to: Associate Vice President of Student Success and Engagement. This position will remain open for a minimum of seven (7) days. The college reserves the right to close the recruitment at any time after the minimum posting period once a sufficient applicant pool has been established.

The objective of this position is to meet and respond to the needs of the individual students, the resident body as a whole, and the overall housing conditions of the Residence Hall through international student support, operational oversight, and comprehensive property management. This includes stewardship of facilities, coordination of maintenance and safety protocols, and ensuring housing operations align with college standards and fiscal responsibility.

The Office of Residence Life supports and cares for students by providing safe, affordable, and quality student housing grounded in sound property management practices and student development principles. The program aims to support and educate residents to become responsible and engaged global citizens. The Residence Hall fosters a diverse, multinational living and learning environment that enhances residents’ academic pursuits through intentional education, innovation, community development, and the maintenance of a well‑managed, responsive residential infrastructure.

The Student Development and Engagement division is the branch of the college that focuses on supporting students in reaching their higher education goals through direct student services, programming, and institutional implementation and oversight of structures and procedures for holistic student support. The division provides students with opportunities for co‑curricular growth and supports the institutional mission of serving students equitably by providing programming, advocacy, and resources for students based on unique needs. This position directs all aspects of the Residence Life program to offer safe, affordable, quality student housing that aims to challenge, support, and educate residents to become responsible and engaged global citizens. Additionally this position supports student success through comprehensive direct services, intentional programming, property management at the residence hall.

Essential Functions Student Support and Residential Experience:

Serve as the primary point of contact and support for residents within designated student housing, fostering a safe, inclusive, and developmentally supportive living-learning environment.

Conduct monthly Health and Wellness Checks for all residents; connect students to campus and community resources as appropriate.

Manage and resolve roommate conflicts through mediation, behavioral agreements, and policy enforcement to maintain community standards and resident wellbeing.

Interpret and enforce housing license agreements, community standards, and conduct policies per the Residence Hall Handbook; initiate corrective action when necessary.

Resource, educate, and direct students to rental assistance opportunities, both internally through Olympic College and externally within the local community.

Support students in identifying alternative local housing and basic needs resources when necessary.

Oversee and evaluate residential programming efforts and assess program outcomes aligned with student engagement and retention goals.

Write quarterly and annual Board reports, quarterly Resident Advisor evaluations, and administer quarterly resident satisfaction surveys.

Property Management and Facilities Oversight:

Oversee the day-to-day operation of the residence hall facility, ensuring the building is safe, functional, and well-maintained.

Conduct routine room inspections and facility walkthroughs to identify maintenance, safety, or policy concerns.

Coordinate, troubleshoot, and when appropriate directly address minor facility repairs and operational issues (e.g., lock adjustments, basic maintenance needs, furniture repair coordination).

Collaborate and manage projects with the Elevated Property Services, serving as the on-site college liaison for contractors and vendors.

Monitor building systems, coordinate maintenance requests, submit and track work orders, and ensure timely resolution of facility concerns.

Direct and evaluate Residence Hall parking and traffic route policies to ensure safety and operational efficiency.

Manage occupancy turnover processes, including room inspections, damage assessments, and coordination of deposit reimbursement or damage reallocation.

Maintain accurate housing records, room condition documentation, and facility compliance logs.

Occupancy, Rent Collection and Housing Administration:

Manage all aspects of occupancy, including applications, background checks, waitlists, room assignments, billing verification, move-ins/move-outs, and recruitment efforts.

Monitor rent payment compliance and coordinate with Business Office staff to ensure timely collection of housing fees.

Initiate and manage late payment notifications, payment plans (when appropriate), and eviction processes in accordance with college policy.

Ensure proper documentation of non-payment, conduct-related removals, and contract terminations.

Evaluate and assess housing occupancy, retention data, projection trends, and revenue implications.

Coordinate marketing and recruitment efforts to support occupancy targets and long-term financial sustainability.

Confirm room assignments and billing are accurately posted in accordance with college fiscal guidelines and housing agreements.

Fiscal Stewardship & Budget Management:

Oversee and manage the Residence Hall program budget, including monitoring expenditures, projecting operational costs, and aligning spending with occupancy and revenue trends.

Ensure fiscal responsibility in vendor coordination, maintenance contracts, supplies, and program expenditures.

Support long-range planning related to facility sustainability, occupancy modeling, and cost containment.

Ensure responsible financial management of damages, deposits, vendor contracts, and operational expenditures.

Emergency Management & Risk Mitigation:

Lead all emergency response training, procedural oversight, debriefing, and scheduling for first- and second-tier On-Call rotations.

Supervise first-tier On-Call team of Resident Advisors; coordinate second-tier escalation protocol involving Associate Deans, Athletic Director, AVPs, and VP of Student Services.

Ensure preparedness and response protocols align with OC’s risk management standards.

Maintain documentation related to incidents, safety procedures, and emergency response actions.

Supervision & Personnel Management:

Hire, train, supervise, and evaluate Resident Advisors.

Recruit and supervise Office Assistants funded through Work Study in coordination with the Financial Aid office.

Provide performance coaching, professional development, and accountability measures for student staff.

Compliance & Regulatory Oversight:

Ensure compliance with all applicable federal, state, and local regulations, including ADA, Fair Housing, Title IX, employment law, and safety codes.

Maintain adherence to college policies, housing agreements, and industry standards for residential property management.

Monitor documentation and processes to ensure audit readiness and regulatory compliance.

Qualifications Minimum Qualifications:

Demonstrated experience working collaboratively with students, staff, and faculty or residents in a wide variety of departments, and/or organizations to develop and implement programmatic initiatives.

Demonstrated experience in residential property management, facilities operations, or housing administration, including coordination of maintenance requests, vendor oversight, and occupancy management.

Demonstrated commitment to promoting Equity and Inclusion through programming and structural/internal processes.

Working knowledge of building systems and basic maintenance practices (e.g., plumbing, electrical, lock systems, life‑safety equipment), with the ability to assess issues, perform minor repairs, and determine when to elevate to licensed professionals.

Experience interpreting and enforcing housing agreements or lease terms, including rent collection processes, documentation of non-payment, and coordination of contract termination or eviction procedures in compliance with applicable landlord–tenant regulations.

Bachelor’s Degree plus two years full‑time supervisory experience OR Associates degree plus four years full‑time work experience AND two years full‑time supervisory experience.

Ability to troubleshoot and utilize reasonable judgement in complex and confidential situations.

Experience with crisis management and conflict resolution.

Experience developing, implementing, and managing student-centered services, trainings, and programs.

Preferred Qualifications:

Master’s degree in student affairs, counseling, public administration, social work, or related field.

3–5 years of progressively responsible experience in college housing, residential property management, or facilities operations.

Property management, hospitality, or experience in facility oversight.
