Role Description
Advo(k)ate Advisors is seeking a detail‑oriented and highly dependable Relationship Manager to support our retirement plan client service and office operations. This role plays a key part in ensuring our client experience, quarterly investment review process, and internal workflows run efficiently. The ideal candidate is organized, proactive, and comfortable balancing administrative responsibilities with data‑driven tasks that support both our advisors and our clients. This individual will assist in preparing quarterly investment review materials, maintain internal systems, and help keep daily office operations running smoothly. This is a part-time, in-office position, scheduled Monday through Thursday from 8:00 AM to 2:00 PM.
Areas of Responsibilities Include, but are not limited to:
Support quarterly investment review preparation by pulling asset data, entering information, and helping populate review reports
Prepare materials for client meetings, including client presentations and recordings, assembling documents, printing packets, and ensuring accuracy
Coordinate quarterly education webinars for plan sponsors and participants
Maintain internal systems and processes such as our online portal for plan documents, investment changes, and other key records
Assist with check processing and mailing, ensuring timely and accurate handling
Maintain office licenses and state registrations
Manage office supplies and general office upkeep to keep the workspace running efficiently
Provide general administrative support to the team as needed to ensure smooth daily operations
Qualifications:
Strong organizational skills with the ability to manage multiple tasks and deadlines
Comfort working with data, including pulling reports, entering information, and reviewing documents for accuracy
Proficiency with Microsoft Office (Word, Excel, Outlook, PPT) and willingness to learn industry‑specific software
Excellent communication skills, both written and verbal, with a professional and friendly demeanor
Ability to work independently while also collaborating closely with advisors and team members
High attention to detail and a commitment to accuracy in all tasks
Experience in administrative or client service roles, ideally in financial services or a professional office environment
Comfort working in a fast‑paced environment and adapting to evolving priorities
FINRA and/or Insurance licensure not required but welcomed
