Job Overview
The Assistant Property Manager assists in all aspects of property management, including performing property administrator duties when necessary. The role requires maintaining professionalism and fostering positive relationships with tenants and clients.
Job Title Assistant Property Manager
Responsibilities
Manage building staff in the absence of the Property Manager or General Manager, covering all managerial functions outlined in those roles.
Handle all building correspondence with clients, tenants, and vendors as directed.
Maintain orderly property files, including leases and contracts.
Obtain aging reports, follow up on delinquencies, and enforce policies.
Process invoices in accounting with proper backup.
Prepare lease abstracts and monthly rent rolls for management review.
Coordinate tenant move‑ins, move‑outs, furniture deliveries, and pick‑ups.
Manage above‑standard tenant requests: obtain estimates, provide proposals, release work, and invoice tenants.
Oversee maintenance of work order and purchase order systems.
Develop and maintain a comprehensive Tenant Service Package, including handbooks, newsletters, and events.
Update office procedures in the Property Operations Procedure Manual.
Ensure certificates of insurance for tenants and vendors are current.
Process management and maintenance staff hours, expense reports, and check requests for approval.
Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges.
Assist in annual budget preparation, CAM reconciliations, monthly financial reports, and bank deposits (if on‑site).
Lead regular inspections with janitorial, landscape, and other service providers.
Oversee contractor performance and tenant improvement work.

2+ years of real estate property management or related experience
Active Real Estate license in the state, OR RPA or CPM designation preferred
Basic knowledge of computer software, building systems, CAM, insurance, taxes, and lease terms
Ability to assign tasks and manage workloads
Work Environment This position is performed in a professional office setting, using standard office equipment. Travel between properties in varying weather conditions is required.
Physical Demands Employee may need to travel between floors, climb stairs, and travel outside under varying weather. Approximately 85% of time spent in a stationary position using office equipment.
Benefits & Compensation Eligible employees receive a range of benefits including health, vision, and dental insurance; flexible spending accounts; health savings accounts; retirement plans; life and disability insurance; and paid time off. Compensation will be a base salary of $51,000.00–$60,000.00, adjusted for location, experience, and bargaining agreements. Minimum wage will not be paid.
