Assistant Property Manager

Overview Our Team is Growing! RTE Property Group is seeking an experienced and dynamic individual to join our team. The Assistant Property Manager is a full-time position in one of the fastest growing Property Management companies in Southwest Montana. This position serves as the primary liaison for RTE Property Group’s prospective and current Residents. The Assistant Property Manager will provide clerical support to ensure the daily operations for a portfolio of properties and associations in the Greater Gallatin Valley area. They will deliver exceptional customer service in accordance with fair housing guidelines, management agreements, and in alignment with the company’s guiding principles. Professionalism is paramount.

Conduct Resident Move-Ins and Move-Outs:

Complete 24-Hour Cleanliness inspections.

Notify Tenants, in writing, of any needed cleanliness items in timely manner.

Complete move-in & move-out inspections to ensure each apartment meets cleanliness and maintenance standards.

Submit unit turn work orders for applicable maintenance, cleaning, & carpet cleaning.

Meet with Tenants on Move-In day to review apartment inspection, apartment walk-through.

Ensure all move-in requirements are completed prior to giving out door codes.

Complete Deposit Accounting for all move-outs, according to MT Landlord Tenant Law, and send to PM for review.

Conduct regular property inspections to ensure safety and maintenance standards.

Assist with ensuring an accurate record of availability that is compatible with the lease renewal report.

Maintain courteous communication with residents, applicants, employees, and vendors.

Assist in the development and implementation of resident retention programs.

Manage action items and tracking reports for each new move-in & move-out utilizing the AppFolio tools and portal.

Stays informed about current market and competitor conditions that may impact the community’s occupancy and sales results, provides input to Property Management team to ensure occupancy goals are met.

Marketing/social media duties such as:

Weekly social media posts; relevant to current time of year and upcoming events.

Weekly posts to drive interest for available apartments.

Brainstorm with team for monthly resident events/ideas.

Create and issue monthly property newsletter.

Assist with on-site pool management and upkeep during Summer Season.

Manage Tenant renter’s insurance to ensure policies are compliant and up to date.

Acquire and maintain a working knowledge of applicable federal, state, and local laws and resources.

Report any issues of concern relating to client discontent relative to the management engagement immediately to property manager.

Participate in continuing education, credentialing classes, & company team meetings.

Participate in on-call rotation for after-hours property emergencies.

Plus, other work-related tasks as needed or assigned.

Secondary Job Responsibilities

Cross train on some job functions to provide depth and breadth of expertise and backup redundancy and support to the company and property management teams during periods of high demand.

Assist leasing agent with general administrative duties such as:

Answer phone calls and emails.

Respond to emails, texts, and phone calls daily within 24 hours.

Daily mail duties: open, scan, and distribute to office colleagues.

Scan all payments received and enter them into property management software daily.

Assist with leasing, as needed, to ensure full lease-up and maintenance of high occupancy levels; includes issuing renewal offers, logging of responses and management of property availability.

Assist leasing agent as liaison between the property managers and/or tenants, as necessary, regarding lease violations.

Assist leasing agent to investigate and respond to concerns/complaints from residents in a timely manner ensuring accuracy and fostering good public relations; includes reporting to the Property Manager.

Assist with vendor management as needed in collaboration with property management team; assist with engaging third-party service and maintenance providers; conduct site visits and property inspections for quality control purposes.

Professional Qualifications & Requirements

Licensed Montana Property Manager – Preferred or within 90 Days

CPO Pool Certification – Preferred or within 90 Days

CPR Certification – Preferred or within 90 Days

Valid Driver’s License; Reliable vehicle and auto insurance required

Schedule for Summer Season (Memorial Day-Labor Day) is four 10-hour shifts. Wednesday-Saturday. 9:30AM-8:30PM.

Schedule can shift to Mon-Fri 9AM-5PM in Off-Season, if preferred.

Compensation

Rate of Pay: $52,000-$55,000 Annually based on experience.

20 PTO Days annually; plus 6 Holidays annually

Physical Requirements

Must be able to work indoors and outdoors in variable weather conditions and temperatures

Must have good communication skills in English language

Keyboarding and entering text or data into a computer or other device

Ability to hear, understand, and distinguish speech and/or other sounds

Near visual acuity at approximately 20 inches or less, including use of computers

Required to stand, walk, kneel, push, pull, and occasionally lift and carry loads of up to 40 lbs.
