
Secretary- to Executive Director of District Operations

12-month secretarial position. Other term as set by the Board of Education in accordance with the New London Public Schools Professional Secretaries' contract.
Primary Function To assist the Executive Director of Operations with the development of systems and best practices reaching a high level of operational excellence. This position must be committed to assist the Executive Director of Operations to establish best practices in each of the following areas: School Facilities Maintenance, Facilities Planning, Transportation.
Typical Duties and Responsibilities
Provide high-level administrative and secretarial support to the Executive Director of Operations
Manage confidential correspondence, communications, and office procedures
Answer, screen, and direct incoming calls; distribute mail and respond to inquiries as appropriate
Prepare, format, and distribute reports, directives, bulletins, and other communications
Maintain accurate student records, including attendance and student information systems
Maintain and update records of contractors, vendors, and service agreements
Oversee office equipment operations, including copier maintenance, supplies, and service coordination
Organize and maintain filing systems, including cumulative folders, records management, and archiving
Coordinate bulk mailings and assist with school opening and closing processes
Prepare and copy materials to support Facilities and Operations functions
Maintain records related to facilities, construction projects, and security incidents
Process purchase orders and invoices; track and support financial documentation and payments
Perform other duties as directed by the Executive Director of Operations or designee
Minimum Qualifications
High school diploma or equivalent; typing proficiency 50+ wpm
Proficiency in word processing, databases, and general office technology
Ability to maintain records, prepare reports, and communicate effectively (oral/written)
Strong collaboration skills with diverse stakeholders
Flexible, adaptable, and willing to learn; construction-related experience preferred
Preferred Qualifications
Bilingual
