Valid Oklahoma Administrator’s Certificate (Preferred but not required)

Current CPR Certification

Current First Aid Certification

5 Years Successful Experience as a Secondary Head Coach

Job Goal:

Lead and develop a unified, high-performing athletic program that builds character, competitiveness, and pride across grades 6-12, while aligning athletics with the district’s mission, culture, and community expectations.

Employment Terms:

12 month contract

Work Hours:

Generally 7:30 A.M. – 4:30 P.M., exclusive of a (1) hour lunch – to accommodate office hours and supervision of personnel.

FLSA Classification:

Exempt

Annual evaluation by High School Principal.

Physical Demands:

Essential Duties and Responsibilities

Administers all aspects of the district’s athletic program in compliance with the program budget, OSSAA rules and other regulatory guidelines.

Leads and develops a unified, high-performing athletic program that builds character, competitiveness, and pride across grades 6-12, while aligning athletics with the district’s mission, culture, and community expectations.

Recruits, evaluates, supervises and recommends employment actions for all coaches, athletic employees, and volunteers pertaining to coaching duties.

Builds and sustains a coaching development system, including mentoring, evaluation, and leadership growth.

Establishes a consistent athletic culture and expectations across all programs, emphasizing effort, discipline, and sportsmanship.

Conducts annual program reviews for all sports, including participation, performance, culture, and academic alignment.

Annually reviews all athletic policies and procedures and submits proposed changes to the superintendent.

Designs and leads a comprehensive summer athletic program that develops youth skills, connects community and school athletics, and strengthens the long‑term success of Ponca City’s 6‑12 athletic programs.

Promotes the district’s athletic program in the school and the community through the development of brochures, press releases, etc. while ensuring compliance with Title IX and other applicable laws.

Works in direct consultation with the District Title IX Coordinator to investigate and resolve any sports‑related gender discrimination complaints.

Monitors student‑athlete participation rates by gender relative to total enrollment to ensure the district meets the ‘Substantial Proportionality’ standard under Title IX.

Models and requires good sportsmanship of all coaches and players and fosters good school‑parent relations.

Ensures appropriate arrangements for all visiting teams’ use of district facilities.

Attends all school meetings which may impact the athletic program.

Supervises the care and maintenance of athletic equipment, materials, supplies and facilities. Orders repairs and replacement items as needed in accordance with the district’s purchasing policies and budget.

Assigns and tracks keys issued to staff for the use of athletic facilities.

Attends and supervises all home sports activities or makes arrangements for administrative supervision as needed.

Coordinates the use of athletic facilities by the band, sports teams, and other individuals requesting use of the district’s facilities in accordance with district policy and procedure.

Ensures all athletic facility modifications are coordinated through the Executive Director of Operations and meet Ponca City municipal building codes.

Ensures that students have an annual physical and receive the required annual health/injury notices. Maintains these and other appropriate records in student files, including insurance, and parent consent forms.

Manages and audits district-wide compliance with concussion training and documentation for all coaches and student athletes (70 O.S. § 24‑155).

Leads the development and annual review of the Riley Boatwright Act Emergency Action Plans.

Coordinates out‑of‑town activities with the appropriate school principal and transportation director at the beginning of each season.

Coordinates with the appropriate school principal to plan an annual recognition program for school athletics and approves the awarding of athletic honors.

Reviews and submits necessary forms to the payroll clerk to ensure prompt and accurate payment to all athletic department employees.

Regularly participates in appropriate professional development opportunities.

Complies with all federal, state and local laws, and board policies and procedures.

Utilizes professional behavior in all school‑related interactions.

Assumes leadership role in the orientation and in‑service training of coaching personnel and instructs coaching staff on athletic policies and practices.

Represents the School District in matters of interscholastic athletics with the OSSAA and Oklahoma Coaches Association.

Schedules and organizes all athletic events.

Contracts officials for all home contests.

Annually reviews and updates the Athletic Handbook to ensure all language regarding tryouts, cuts, and participation is consistent with Title IX and Oklahoma State Statutes.

Establishes and enforces the physical, academic, and training requirements of eligibility for participation.

Prepares, supervises, and administers the athletic program budget and communicates budget information to athletic staff.

Supervises all ticket sales and fund‑raising events of the athletic program, and assumes responsibility for proper handling of funds.

Works with various booster clubs to ensure proper relationship between them and the District.

Reviews all Booster Club expenditures and donations to ensure they do not create a compliance disparity between male and female sports programs.

To ensure continuity of services, remote work may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee’s eligibility for remote work will be determined by the superintendent of schools. Expectations and guidelines for remote work will be distributed by the employee’s supervisor, based on his/her role and responsibilities.

Performs all other tasks as supervisor may assign.
